Responsibilities
- Provide administrative support tailored to the needs of the Project Team, Program Office, Department, and Corporate Offices, handling complex, confidential duties.
- Work independently with limited supervision on assigned requirements.
- Manage executive office tasks, coordinate with executive staff, and maintain documentation accountability.
- Collect, analyze, and research data for projects.
- Prepare briefing materials, charts, graphs, and presentations independently.
- Make administrative decisions and complete projects/assignments.
- Handle correspondence not requiring personal attention from Government managers.
- Assist in developing and preparing administrative/staff reports.
- Perform quality assurance to ensure report completeness.
- Use graphics or desktop publishing software for presentations.
- Review and summarize reports/documents, highlighting actions or concerns for Government managers.
- Assist in management assignments and provide high-level customer support.
- Establish and maintain Standard Operating Procedures (SOPs) for administrative duties.
- Potentially lead and guide lower-level employees within the Program Office or Department.
- Support visually impaired, blind, and other disabled Government personnel with clerical and administrative tasks, including assistance with accessible software, reading aloud documents, describing illustrative materials, and aiding with signing documents.
- Complete electronic training, manage timekeeping entries, and approve them.
- Enter data into automated business applications, including CIPA performance, Personnel Addendum, Honorary Awards, and trackers.
- Research technological solutions to enhance independence for disabled employees.
- Guide employees on signing and approving documents and data system entries.
- Transport impaired employees to meetings and training using government vehicles.
- Perform secretarial duties (filing, calls, scheduling, travel arrangements) and support office management tasks such as budgeting, personnel records, and payroll.
- Work independently on projects requiring research and preparation of briefing charts and presentation materials.
Qualifications
- Must be able to obtain a DoD Interim Secret clearance; an active Secret clearance is highly preferred.
- Six (6) years of experience with documentation and data management systems, including four years involving Federal Government programs.
- Experience supporting mid-executive level and general administrative functions.
- Proficiency in Microsoft Office Suite and Adobe; typing speed of 40 WPM.
- Ability to work independently, communicate effectively, and handle multiple tasks professionally.
- Experience supporting meetings, maintaining filing systems, managing calendars, and taking minutes.
- Experience editing documents and formatting according to Government standards.
- Experience greeting visitors and handling sensitive materials.
- Experience overseeing support teams, training personnel, and resolving conflicts.
