Job Summary:

The Administrative Assistant will provide high-level administrative support to company C-Suite executives, ensuring efficient operation of the executive office. This role requires a proactive individual with excellent organizational skills, attention to detail, and the ability to handle sensitive information with discretion. The role is equal parts “gate keeper” for the Executive Team and a welcoming presence for those seeking time and attention of the Executive Team.

Key Responsibilities:

  1. Calendar Management: Coordinate and manage the schedules of company executives, including meetings, appointments, and travel arrangements.
  2. Communication: Serve as the primary point of contact between the company executives and internal/external stakeholders. Handle correspondence, emails, and phone calls with extreme sensitivity.
  3. Meeting Coordination: Organize and prepare for meetings, including drafting agendas, taking minutes, and following up on action items.
  4. Document Preparation: Prepare and edit reports, presentations, and other documents as needed.
  5. Project Management: Assist in the planning and execution of special projects and initiatives.
  6. Confidentiality: Handle sensitive information with the utmost confidentiality and professionalism.
  7. Support Tasks: Perform other administrative duties as assigned to support the executive team.

Qualifications:

  1. Education: Bachelor’s degree in Business Administration, Communications, or a related field preferred.
  2. Experience: Minimum of 5 years of experience in an administrative support role.
  3. Skills:
  4. Excellent organizational and time-management skills.
  5. Strong written and verbal communication skills.
  6. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  7. Ability to work independently and as part of a team.
  8. High level of discretion and confidentiality.
  9. Strong problem-solving skills and exceptional attention to detail.
