Administrative Assistant

POSITION DEFINITION: The Administrative Assistant is a front-office administrative position that supports the Authority’s management and maintenance departments in a variety of ways.

Reception

ESSENTIAL DUTIES/AREAS:

  • As the front-office representative of the housing authority, greets and directs all visitors and business partners
  • General clerical duties include:
    • Answers incoming calls, directs inquiries to other staff when necessary
    • Regularly types, files, processes mail
    • Maintains records and prepares reports for supervisory staff regularly
Administration

  • Receives and processes work order requests, monitoring and recording completion in compliance with program requirements
  • Receives and processes housing applications for all NAHA programs including use of the CHAMP portal
  • Understands and communicates program requirements, preferences, priorities and processes to applicants
  • Understands and communicates program requirements and recertification processes to residents
  • Processes and posts tenant account receivables in a timely manner, including ACH payment.
  • Monitors and reports delinquent rents, reporting to Public Housing Manager and Executive Director.
  • Serves as the initial point of contact for all resident-requested work orders on phone and in person.
  • Prepares and appropriately codes all work orders, distributes to staff and communicates their urgency appropriately.
  • Monitors completion of work orders for compliance with state and federal standards. Makes recommendations to adjust and improve work order procedures to Supervisor
  • Performs various clerical duties related to the facilities of the Authority.
  • Assists in inventory maintenance.
  • Data entry for EOHLC utility consumption reporting.
  • Manages all special requests, projects, and/or investigations assigned by the Executive Director.
  • Responsible for appropriate handling and timely response to all correspondence/inquiries relative to area of responsibility.
  • Maintains strict confidentiality of restricted information, files and records including Personally Identifiable Information.
  • Performs other duties as required.

Qualifications

  • Demonstrated interpersonal skills to establish and maintain effective working relationships with NAHA staff, vendors, State and Federal agencies and the public.
  • Demonstrated ability to achieve, and history of, satisfactory attendance
  • Demonstrated courtesy and respect for others via strong customer service orientation,
  • Demonstrated ability to maintain a positive professional attitude while representing the proper image of the Authority.
  • Proven track record of organization, time management and attention to detail
  • Proficiency in the use of computer systems including Microsoft excel and word. NAHA will train an otherwise qualified candidate in its PhaWeb software program
  • Proven ability to prepare and maintain statistical as well as narrative reports while communicating professionally; both English and Spanish preferred
  • Demonstrated ability to interpret and comply with written policies and regulations
  • Track record of using appropriate judgement to make independent decisions when necessary
  • Ability to work extended hours in a stressful work environment.

Must be available to work Monday through Friday and attend occasional off-site training programs.

Must have a high school diploma or GED Certificate

Must have a valid driver's license and reliable transportation.

$20/hourly 37.5 hours per week
