Scope Of Position

Utilize independent judgment and initiative, while performing diversified secretarial, reception, office management, and coordination activities related to the operation of the Senior Leadership Offices. Maintain excellence in customer service. Interactions may include professional and executive populations. Report to senior leadership.

Responsibilities

  • Screen all calls, respond to those not requiring executive attention, ascertain caller's needs, provide information, direct calls appropriately, and distribute messages via voicemail.
  • Use established guidelines and software to initiate, compose, word process, and edit reports, letters, minutes, spreadsheets, and other documents.
  • Maintain an organized and uniform filing system for easy document retrieval by leaders or staff.
  • Open, sort, review, and distribute incoming mail.
  • Schedule and arrange conferences and meetings, including sending notices, booking facilities, and arranging refreshments, as well as making travel arrangements as needed.
  • Maintain leaders' calendars on the PC and coordinate non-routine meetings promptly.
  • Complete duplication and collation of materials and master files.
  • Organize and complete assigned special projects and reports.
  • Provide secretarial coverage for other Administrators as needed.
  • Prepare special assignments as required.
  • Perform other related duties as required.

Requirements

  • Proficiency in computer use for word processing, spreadsheets, and related software.
  • Ability to maintain confidentiality.
  • Familiarity with hospital organization and administrative policies and procedures.
  • Effective communication skills with staff, hospital personnel, customers, and community members.
  • Basic computer skills, including internet access and use of hospital-specific programs.
  • Perform automated functions within job responsibilities.
  • Associates Degree or equivalent, emphasizing Secretarial Science or General Business.
  • At least three (3) years of secretarial experience.
