Overview

Administrative Assistant role at the Connecticut Department of Correction, Board of Pardons and Paroles, located in Waterbury, CT. This is a full-time (40 hours per week) position with a schedule of 8:00 a.m. to 4:30 p.m. Monday through Friday.

Responsibilities

  • Compose complex letters and/or memoranda (e.g., explaining Board practices and/or policies) for own or manager's signature.
  • Research and assemble information from a variety of sources and prepare statistical and/or narrative reports; analyze information and propose recommendations.
  • Act for Executive Team by interpreting established policies and procedures; troubleshoot by relieving the manager of administrative detail; act for and regularly make decisions in the manager's absence (within prescribed limits of authority).
  • Screen letters, memos, reports, and other materials to determine action required; may make recommendations to supervisor.
  • Arrange and coordinate meetings (including space and equipment); research, assemble and coordinate meeting materials; write minutes of meetings; prepare expense accounts; make travel arrangements.
  • Purchasing orders; assist agency staff in the preparation of in- and out-of-state travel authorizations and reimbursements; assist with preparation and maintenance of Board Hearing Schedules.

About the Organization

The Board of Pardons and Paroles is an autonomous state agency administratively attached to the Department of Correction and is an integral part of the legal system that grants pardons and parole to eligible offenders in the community under supervision. The work is driven by responsibility to support reintegration into law-abiding society.

Minimum Qualifications

General Experience: Four (4) years of experience above the routine clerk level in office support or secretarial work.

Special Experience: One (1) year of the General Experience must have been as a Secretary 2 or its equivalent.

Substitutions Allowed: College training in the secretarial sciences may be substituted for the General Experience on the basis of 15 semester hours equalling one-half year of experience to a maximum of two (2) years.

Preferred Qualifications

  • Experience using Microsoft Office Suite (Word, Excel, PowerPoint).
  • Experience with business communications, including writing and editing letters and reports.
  • Experience handling a high volume of calls and interacting with people of various backgrounds.
  • Experience managing and distributing information; ability to work independently and exercise independent judgment; adherence to confidentiality, policies, and standards.
  • Experience scheduling and coordinating meetings through Outlook and Teams.
