THE OPPORTUNITY
The Administrative Assistant provides front desk and administrative support for the Glavin Office of International Education, including education abroad, short-term faculty-led programs, and international student and scholar services. This role serves as the first point of contact for stakeholders such as students, faculty, and staff.
WHAT YOU WILL DO
- Serve as the first point of contact for the office, greeting visitors and managing inquiries.
- Maintain calendars for the Senior Director, Associate Director, and other staff.
- Manage student appointments for department staff.
- Plan and coordinate logistics for meetings and events.
- Support staff with student programs, marketing, room reservations, and supplies.
- Oversee technological needs of the front office, including laptops, phones, and printers, coordinating with ITSD and Cannon Copy Center.
- Update the department website with ITSD and College Marketing assistance. Create and review promotional materials and manage social media accounts.
- Handle mail, correspondence, and follow-up communications.
- Answer phones, screen calls, and provide information to callers.
- Draft, proofread, and edit correspondence, reports, and other documents.
- Design and maintain electronic filing systems.
- Interview, select, train, and evaluate student workers.
- Order and maintain office supplies.
- Perform additional responsibilities as needed by the department.

WHAT EDUCATION AND SKILLS YOU WILL NEED
- High School Diploma
- 3-5 years of related experience
- Excellent typing, editing, and proofreading skills
- Strong organizational, interpersonal, and communication skills, with a high degree of confidentiality
- Proficiency in Microsoft 365
- Ability to interact effectively with trustees, students, parents, faculty, staff, and visitors
- Strong supervisory and training skills
- Ability to manage multiple priorities with attention to detail
- Effective communication with non-native English speakers and individuals from diverse backgrounds
- Experience working in multicultural and international communities
- Ability to propose new methods, take thoughtful risks, and adapt to change
HOW AND WHERE YOU WILL WORK
Onsite work required 5 days per week, with potential for occasional remote work depending on organizational needs.
