Overview

Base pay range: $10,000.00/yr - $50,000.00/yr

Job title: Administrative Assistant (Ramsey County). The current vacancies are within the Financial Assistance Services and Social Services departments. The eligibility list created by this posting may be used to hire other vacancies in the department or County. These positions may be identified under the designation of ‘flex work eligible’, meaning that the employee can opt to be in-office full-time or work a flex schedule in which at least two days per week are performed in office and other days can be remote-first. Regardless of selection, on-site responsibilities and schedule flexibility beyond the minimum expectations may apply. Responsibilities

  • Perform duties relating to forms and records maintenance: gathering documents, establishing and updating files, searching files for information, maintaining departmental records and statistics, and handling case files.
  • Perform public contact duties: receiving and routing calls, responding to complaints and inquiries, directing clients or visitors, assisting with forms, verifying information, scheduling appointments, and assigning service requests to program units or staff per guidelines.
  • Perform general office services: opening, sorting, distributing mail, preparing letters, scanning documents, and related duties.
  • Perform administrative functions in the assigned unit: maintaining inventories, processing contracts/agreements, reimbursements, requisitions and accounts payable forms; generating reports; processing bills and payments; maintaining and balancing accounts.
  • Receive, sort, and distribute correspondence and deliveries; scan and fax documents.
  • May provide training and support to incoming employees.

Note: The work assigned may not include all tasks in this classification and may include additional tasks. Regular attendance is required per the management-approved schedule.

Minimum Qualifications

Education: High school graduation or equivalent.

Experience: Three years of related clerical or customer service experience.

Substitution: Equivalent combination of education and related work experience.

Exam/Screening Process

The examination process includes a training and experience rating. Applicants are encouraged to answer all questions clearly and completely. Do not write "see resume" as a response. The rating will determine eligibility to move forward in the selection process.

Eligibility and Policies

Eligible List: Names of applicants who completed the application and passed the examination will be placed on the eligible list for employment opportunities. The list is certified to the appointing authority and may be used to conduct interviews to fill vacancies. Candidates remain on the list for 30 days or until hired.

Veteran's Preference: Veteran's Preference points will be applied after examination.

Criminal Background Checks: Employment offers are conditioned on passing a criminal background check. Statements found to be false may disqualify a candidate.
