Administrative Assistant Arboretum Description. JOB SUMMARY: To assist the Arboretum Director in many aspects of the operations of the Arboretum, including: office management, coordinating usage of the Interpretive Center, community and campus outreach, maintaining relationships with members, friends and donors, assisting with horticultural garden work, and managing student workers. Employment Type: Full-time (.87 FTE; 40hpw during academic year, 20hpw during summer), Benefits-Eligible, Non-Exempt (Hourly). Pay Range: $18-20.00 per hour.

Responsibilities

  • Interpretive Center Rentals and Usage: Process rental deposits/fees/contracts and assist prospective renters with tours and questions. Produce and maintain brochures, documents, contracts and files pertaining to the rental of the Arb space. Maintain an accurate events calendar and coordinate with guests and GAC services and staff.
  • General Office and Building Operations: Manage operation of the office area, equipment and supplies. Serve as the primary point of contact for visitors/phone/email/mail, and provide professional, informative and friendly service to arboretum users. Maintain Interpretive Center amenities for users (seasonal decor, fireplace supplies, AV equipment, brochures, posters, signage, tables/chairs) and ensure that the building and area are clean and comfortable.
  • Visitor/Donor/Member Management: Help implement "Friends of the Arboretum" member appreciation initiatives, events and communications, including regular emails and the production of arboretum newsletters. Accept and process membership fees and donor gifts, working in concert with the Advancement department.
  • Garden & Student Worker/Volunteer Direction: Assist with all aspects of maintaining the arboretum horticultural gardens, as needed. Coordinate the activities of the garden volunteer corps. Assist the Director in the training, scheduling, and direction of student workers. Process payment of student workers and track volunteer hours.
  • Arboretum Promotion and Outreach: Help manage and maintain a social media presence, web presence, and print media. Assist with a wide array of educational and promotional outreach, including environmental programs, special events, tours, exhibits, posters and displays.
