Our team in Loving currently has an opening for a Administrative Assistant
YOUR ROLE & RESPONSIBILITIES
- Act as liaison with other departments to address and resolve internal and external issues in a timely manner.
- Issues will-call bills of ladings.
- Maintain and order office supplies.
- Create MRO’s for Operations and Management.
- Control access to non-company vehicles via truck gate.
- Organize and prioritize large volumes of information and calls.
- Ensure adherence to all established administrative and clerical procedures of the office.
- Package and prepare all outgoing packages and mail.
- Receive, organize, and distribute all incoming mail and packages.
- Organize and prepare invoices and A/R documents to be signed and mailed to corporate for payment.
- Scan and file all BOL’s, CoA’s, and other documentation.
- Maintain document files for BOL’s, CoA’s, MRO’s, and purchase orders.
- Support customer service and sales as needed.
- Create a positive and professional office environment.
- Represent the Brenntag Pacific group in a professional manner.
- Observe, follow, and enforce all Brenntag Pacific Policies and Procedures.
- Attend all required training when scheduled unless absent from work.
- Perform other duties as assigned by management.
YOUR PROFILE
Education and Experience:
- Associates degree (A. A.) or equivalent from a two-year college or technical school, experience in office management a plus, preferably in the chemical industry; or equivalent combination of education and experience.
- Ability to read, write, and speak the English language.
- Proficient level of skill in Microsoft Office, particularly Word and Excel, and the BUS system.
- Ability to work quickly, accurately, and independently, capable of prioritizing multiple and competing projects.
- Ability to perform under pressure with minimal supervision.
- Possess a high standard of work ethics to ensure confidentiality of company information.
- Ability to maintain a positive work attitude while executing duties.
- Ability to define problems, collect data, establish facts, and draw valid conclusions in a timely manner.
- Possess excellent written/oral communication skills while paying great attention to detail.
- Ability to effectively communicate with all levels of staff, including upper management.
- Ability to work with internal and external customers, resolving problems in a manner acceptable to the customer and satisfaction of the company.
- Willingness to work overtime as needed.
