Position Overview
The Administrative Assistant acts as the first point of contact for the department by greeting members and answering phones, scheduling appointments, as well as providing basic information to homeowners pertaining to community activities and guidelines. This position reports to the Vice President of People Services.
Base pay and location
Pay: $20.00/hr
Location: IronOaks at Sun Lakes, Chandler & Sun Lakes, Arizona

- New hourly full-time team members working 30 hours or more per week are eligible for the Company medical, dental and life insurance plans the first of the month following 60 days of full-time employment.

Key Responsibilities
- Maintain confidentiality, provide positive customer service, and build relationships with staff, members and guests. Access to HIPAA protected information.
- Answer incoming calls and correspondence; respond to homeowner requests for information; perform other receptionist duties as needed.
- Generate memos, emails, and reports.
- Assist in training staff members and new employees.
- Manage office programs as directed by management.
- Maintain office equipment, including computers and machines.
- Maintain office supply inventory and place supply orders.
- Other duties and responsibilities may be assigned.
Minimum Requirements / Qualifications / Skills
- High School diploma or equivalent preferred.
- One to three years’ relative experience preferred in an active office environment.
- Knowledge about Homeowners Associations is a plus.
- Computer literate with proficient knowledge of Microsoft Office.
- Ability to work independently and collaboratively within a team.
- Ability to prioritize tasks and handle multiple assignments.
- Ability to write reports and correspondence; good proofreading skills.
- Ability to read and interpret documents, such as equipment instructions and procedure manuals.
- Strong leadership, organizational and planning skills; excellent time management; ability to multi-task and prioritize; creative with an ability to suggest improvements.
- Excellent written and verbal communication skills; ability to respond to the needs of coworkers and members.
- Consistently maintain high work standards; attention to detail, accuracy, and timeliness.
- Demonstrates initiative and ability to think, work, and make independent decisions based on sound judgment.
- Able to pay attention to multiple details and work in a fast-paced environment where continuous improvement is expected.
Work Environment and Physical Demands
This position operates in a professional indoor office environment and routinely uses standard office equipment. The noise level is usually moderate.
The physical demands include speaking and hearing, sitting or standing for extended periods, walking, using hands, bending, and reaching. Occasional lifting up to 20 pounds may be required.
