Job Purpose: The primary purpose of this position is to provide administrative support to the ministries and personnel of the Office of Discipleship & Mission (ODM). This position also involves sacramental data recording according to canon law and parish policy.
Representative Responsibilities
- Direct administrative support for ODM Staff
- Assist with clear oral and written communication. Share inquiries regarding Discipleship and Mission via phone and email.
- Coordinate workflow for special projects: copying, collating, editing, organizing, and distributing tasks to ensure timely completion. Utilize clerks and volunteers effectively within established processes.
- Support event planning and execution as needed.
- Manage the Book Rack ministry: Handle deposits, update databases, and communicate with St. George’s Bookstore.
- Assist in Program Management Systems
- Support Coordinators with program management and projects.
- Create forms for parish and ODM ministries.
- Develop online forms integrated with back-end accounting.
- Maintain class lists, attendance sheets, and keep registration records current.
- Participate in evangelization ODM events as needed.
- Create and distribute posters and publicity materials for ODM.
- Manage ODM Resource room items, including checkout systems for iPads.
- Participate in staff meetings: Engage in department, church, and wider staff meetings, gatherings, and retreats. Provide input, support, and note-taking assistance. Work towards fostering a harmonious and joyful work environment.
- Develop and maintain communication systems: Oversee the Flocknote communication system for ODM and parish staff.
- Support programs of the Director of Discipleship: Assist with administrative tasks for Adult Education, Becoming Catholic OCIA, and Catechesis of the Good Shepherd.
- Oversee sacramental recordkeeping: Record sacramental data according to canon law and parish policies. Manage requests for sacramental information from other parishes and provide certificates and recordings for all sacraments.
- Coordinate infant Baptism preparation: Manage inquiries, guide couples, schedule classes and celebrations, communicate with families and facilitators.
- Coordinate Marriage Ministry/Convalidation: Process intakes, assist with mentor packets, and schedule related events.
