Job Summary

Provide support to Managing Directors and other employees within the Global Investment Banking group in Dallas, Texas.

Job Description

What will you do?

  • Answering telephone, taking messages, and answering routine questions.
  • Maintaining vacation schedule and master schedule of staff whereabouts.
  • Maintaining master copies.
  • Distribute mail and coordinate courier service as needed.
  • Answer and screen telephone calls professionally.
  • Make domestic and international travel arrangements and handle changes.
  • Coordinate meeting arrangements (conference calls, meeting rooms, reservations, catering).
  • Manage multiple calendars.
  • Request Compliance pre-approval in MCO for client entertainment and gifts, follow-up as needed.
  • Request pre-approval for sponsorships and donations following policies.
  • Prepare, track, and manage expense reports via expense reporting system.
  • Act as backup to other department staff as needed.
  • Perform duties related to deal transactions in the MF Portal.
  • Assist with competitive bids as needed.
  • Review and comply with MF Policies, Procedures, and Firm Policies.
  • Escalate operational risk events and control deficiencies.
  • Complete RBC Learning tasks timely.
  • Prepare closed deal files in MF Portal.
  • Assist with document production as needed.
  • Perform other delegated tasks.
  • Maintain organizational policy manuals, keeping them up-to-date.
  • Type and distribute memos, minutes, and presentations.

What do you need to succeed?

  • At least 5 years of experience; administrative experience preferred.
  • Bachelor's degree preferred.
  • Ability to prioritize and manage multiple tasks.
  • Strong computer skills, especially MS Office.
  • Excellent communication skills.
  • Strong interpersonal skills.
  • Good organization, follow-through, and problem-solving skills.
  • Initiative, independence, and teamwork skills.
  • Maintain high professional and ethical standards.
  • Ability to handle confidential information.
