Responsibilities
- Answer phones and greet clients warmly
- Schedule appointments and manage calendars
- Assist with insurance verification and authorization processes
- Process client intake paperwork and insurance documentation
- Communicate with parents regarding scheduling and billing
- Maintain organized digital and physical filing systems
- Support therapists with administrative tasks as needed
- Coordinate office supplies and clinic inventory
- Uphold confidentiality and compliance with HIPAA regulations
- Maintain cleanliness and organization of the front office and common areas
- Handle incoming and outgoing mail and packages
- Assist with onboarding new clients and explaining clinic policies
- Monitor and update client records in the EMR system
- Help coordinate internal meetings, staff communications, and events
Qualifications
- Previous administrative or front office experience in a healthcare or therapy setting is preferred
- Strong organizational and multitasking skills
- Excellent verbal and written communication skills
- Proficiency with scheduling software and Microsoft Office Suite
- Ability to maintain confidentiality and handle sensitive information
- Friendly, professional demeanor with strong customer service skills
- High school diploma or equivalent required; associates degree or higher preferred
