Job Summary

We are seeking a motivated and outgoing Administrative Assistant to join our team. In this role, you will provide support to our office employees, ensuring they have all the information and resources they need to perform their best. Your responsibilities will include answering phone calls, scheduling appointments, planning meetings, and writing correspondence. The ideal candidate is highly organized with excellent written and verbal communication skills and a friendly demeanor.

Responsibilities

Answer phones and greet clients warmly

Schedule appointments and manage calendars

Assist with insurance verification and authorization processes

Process client intake paperwork and insurance documentation

Communicate with parents regarding scheduling and billing

Maintain organized digital and physical filing systems

Support therapists with administrative tasks as needed

Coordinate office supplies and clinic inventory

Uphold confidentiality and compliance with HIPAA regulations

Maintain cleanliness and organization of the front office and common areas

Handle incoming and outgoing mail and packages

Assist with onboarding new clients and explaining clinic policies

Monitor and update client records in the EMR system

Help coordinate internal meetings, staff communications, and events

Qualifications

Previous administrative or front office experience in a healthcare or therapy setting is preferred

Strong organizational and multitasking skills

Excellent verbal and written communication skills

Proficiency with scheduling software and Microsoft Office Suite

Ability to maintain confidentiality and handle sensitive information

Friendly, professional demeanor with strong customer service skills

High school diploma or equivalent required; associate’s degree or higher preferred
