Dixon Bayco is seeking a highly organized and proactive Administrative Assistant to become an integral part of our team! This is a pivotal role where your skills will directly support daily operations and empower our management team. You'll be the backbone of our office, providing crucial support with manufacturing schedules, inventory management, shipping documentation, and purchase orders. What You'll Do:

  • Greet guests, manage the phone system, and maintain the reception area
  • Provide administrative support to management and various departments
  • Prepare and maintain accurate records, files, and documentation
  • Handle incoming calls and emails, providing excellent customer service
  • Maintain filing systems, databases, and employee lists
  • Order and oversee office supplies and food deliveries
  • Respond to administrative inquiries and emails, and draft and edit documents
  • Supports continuous improvement of office procedures
  • Assist with shipping procedures, inventory, purchase orders and invoices
  • Scan documents for electronic filing
  • Update vendor pricing as applicable
  • Receive and distribute mail
  • Track and update product and supply inventories

What We're Looking For:

  • Minimum 2 year’s related working experience in a clerical or administrative role
  • Working experience in Purchasing / Inventory / Manufacturing environment preferred
  • High school diploma or equivalent degree required; Associate degree preferred
  • Working knowledge of MS Office Tools & Google email and comfortable with various office equipment
  • Strong prioritization, organizational and time management skills
  • Ability to handle changing priorities
  • Excellent customer service skills
  • Excellent verbal and written communication skills
  • Basic Math skills
  • Ability to multitask and prioritize effectively in a fast-paced environment
  • Attention to detail and problem-solving skills to address administrative challenges as they arise
  • A proactive attitude with the ability to work independently and as part of a team
