Our Client is a dynamic and growing full-service law firm seeking a polished, experienced Executive Administrative Assistant to provide high-level support to the Partner of our Matrimonial Law Practice in our Brooklyn office. This is an excellent opportunity for a proactive, detail-oriented professional with strong organizational and communication skills who thrives in a fast-paced legal or corporate environment.

Key Responsibilities:

  • Provide comprehensive executive-level support to the Partner, including heavy calendar management, scheduling, and coordination of internal and external meetings.

  • Manage all email and phone correspondence on behalf of the Partner, prioritizing communications and ensuring timely responses.

  • Prepare and edit legal and non-legal documents, including correspondence, presentations, reports, and confidential materials.

  • Track deadlines, court appearances, and other critical dates with precision.

  • Handle travel arrangements, expense reporting, and event planning.

  • Serve as a liaison between the Partner and clients, staff, and other attorneys; ensure prompt follow-up and professional client service.

  • Maintain and organize case files and confidential documents, both physical and electronic.

  • Assist with time entry, billing, and document management using legal practice software or firm systems.

  • Perform general administrative duties including copying, scanning, and managing office supplies for the Partner's needs.

  • Support the Partner in ad hoc projects, including preparation for client meetings, court filings, or presentations.

Skills & Qualifications:

  • 5+ years of executive assistant experience, preferably supporting a C-level executive or senior partner.

  • Prior experience in a law firm or legal environment is preferred but not required.

  • Exceptional organizational and multitasking skills with a strong attention to detail.

  • Ability to handle confidential information with discretion and professionalism.

  • Strong verbal and written communication skills.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); familiarity with legal software such as ProLaw or document management systems is a plus.

  • Professional demeanor with excellent interpersonal skills and the ability to work with all levels of staff and clients.

  • Self-starter with a proactive mindset and the ability to anticipate needs before they arise.

  • High level of reliability, accountability, and discretion.
