Job Title: Staff Accountant

Vital Enterprises, the parent company of many shared-ownership companies, is seeking a detail-oriented, proactive Staff Accountant to join our accounting team in a dynamic office environment. The Staff Accountant will be responsible for full-cycle accounting duties, managing complex functions, supporting month-end close process, preparing financial statements, and assisting with audits.
As a key contributor to the accounting team, this position supports operations for multiple entities and requires a solid foundation in accounting principles, software proficiency, and meticulous attention to accuracy and confidentiality. The ideal candidate will demonstrate sharp analytical skills, exceptional attention to detail, and cross-departmental collaboration, while also identifying opportunities to streamline processes and recommending automation tools to enhance efficiency and reporting accuracy.
What You’ll Be Doing
Accounts Receivable (A/R)
- Track and review billing tasks from Monday.com and generate customer invoices. Submit invoices after internal approval via e-mail or clients’ portals. Post payments received via electronic remittances and bank deposits. Conduct weekly reviews of past-due accounts and follow up with customers to ensure timely collections.
Accounts Payable (A/P)
- Review, verify, and process vendor invoices accurately and on time. Schedule and prepare payments via check or ACH. Ensure timely payments to vendors weekly while optimizing cash flow. Communicate with vendors to resolve billing discrepancies or payment issues. Assist with month-end and year-end close by preparing accruals and reconciliations. Maintain proper documentation and support for all payments. Assist with 1099 reporting and year-end tax compliance.
Credit Card & Expense Management
- Review and validate employee credit card transactions for accuracy. Collect and verify supporting receipts, expense reports, and approvals. Reconcile monthly credit card statements with recorded transactions. Follow up with cardholders for unresolved reconciliation items. Ensure accurate transaction imports.
Banking and Reporting
- Perform weekly bank reconciliations and post transactions. Assist with quarterly and annual close processes. Prepare accurate and timely financial reports as required. Assist with management reports, and weekly cash flow report.
Payroll and Benefits
- Perform weekly payroll review. Reconcile vendor benefits invoices with payroll deductions. Assist with inter-company benefits and expense billing.
Administrative Tasks
- Respond to accounting-related emails, maintain organized financial records, physical and electronic filing and assist with miscellaneous assignments as needed.
- Bachelor’s degree in accounting or similar field AND at least five years of full-cycle accounting experience.
- Proficient in Microsoft Office 365 environment: Excel, Outlook, Word, Teams, SharePoint.
- Experience with QuickBooks is highly preferred (Desktop and Online).
- Typing speed of at least 45 WPM with a high degree of accuracy.
- Proficiency with 10-key data entry with speed and accuracy.
