Overview


The Receptionist at SPS provides welcoming and professional front-desk service, greeting visitors, answering inbound calls, and supporting other SPS service areas as needed to deliver a top-tier customer experience.


Responsibilities



  • Greet visitors and answer calls to provide an exceptional customer service experience for all guests and staff.

  • Route inquiries to appropriate contacts and maintain a professional and courteous demeanor at all times.

  • Log visitors into the registration system and activate temporary or replacement access badges as needed.

  • Issue facility access cards to employees and manage badge-related requests.

  • Coordinate conference room setup and teardown, order catering, and provide light administrative support (eg scheduling, envelope labels, compiling manuals).

  • Assist with mail and package sorting, distribution, and related duties as needed, with cross-training in mail services.

  • Maintain the reception area and replenish supplies for the barista area, pantry, conference rooms, and meeting spaces.

  • Keep phone and speed-dial lists current; handle calls efficiently and professionally, escalating issues as needed.

  • Provide back-office support as required and proactively seek additional tasks during downtime.

  • Train backups and provide guidance on policies and procedures.

  • Monitor deliveries to notify employees or route to Mail Room when appropriate.

Qualifications and Education Requirements



  • High School Diploma (or equivalent) required.

  • 1-3 years of prior work experience; strong preference for administrative/reception/concierge roles.

  • Ability to work the hours determined by the manager.

  • Excellent organizational and time management skills.

  • Analytical abilities and problem-solving aptitude.

  • Strong written and verbal English communication skills.

  • Task-driven with a focus on customer satisfaction.

  • Ability to multi-task and prioritize tasks, assignments, and customer needs.

  • Familiarity with computer-based systems or ability to learn quickly (multi-phone lines, PC/Mac, MS Office, printers/copiers/scanners, and other SPS devices).

  • Professional appearance and attitude; adherence to all policies and procedures.


Physical Demands



  • Fine and gross motor skills to lift and move packages up to 60 lbs with a cart; operate office equipment.

  • Ability to walk, bend, kneel, stand, and sit for extended periods.

  • Manual dexterity for operating office machines.

  • Ability to lift or move 40 lbs or greater frequently.
