Job Description
Job Summary:
Are you a team player who knows how to make an incredible, genuine first impression? As the
first "voice" on the telephone, the Receptionist provides invaluable front-line support for the
entire Firm.
We are looking for an individual who is warm, friendly, and who genuinely desires to foster
strong relationships on the front end. He or she must be able to manage a high volume and time
sensitive workflow effectively and efficiently. Strong people skills and exceptional
organizational skills are absolutely essential! The Receptionist will also assist the Firm by
preparing, saving, and organizing both faxes and incoming/outgoing mail.
Duties and Responsibilities:
- Answer and route all incoming calls
- Greet and assist all clients and visitors
- Direct clients and/or visitors towards the correct office or conference room and
immediately notify the person they will be meeting with - Serve refreshments to guests and clients
- Direct clients and/or visitors towards the correct office or conference room and
- Maintain the waiting area, lobby and the conference rooms
- Make sure the coffee machine has water and coffee supplies are stocked
- Restock the fridges with water and soda
- Save and distribute all faxes, incoming mail, deposition transcripts and all documents
filed with the court - Prepare and send out all outgoing mail
- Collect and route mail and hand-delivered packages
Supervisory/Management Responsibilities (If required):
- None
Required Education and Experience:
- High School Diploma or GED
- At least 1 year experience in a personal injury law office
Preferred Education and Experience:
- Associates Degree
- 2+ years of experience in a personal injury law office
- Customer service experience
- Experience with Microsoft products (Outlook, Word, Excel)
- Experience with Adobe products

- Must be able to remain in a stationary position and constantly operate a computer
and other office machines, such as a telephone, copy machine, and office equipment. - This position requires the ability to occasionally move about to access file cabinets
and lift files. - Must be able to identify and assess information on computer screens, written reports
and documentation and relay to team and/or clients. - Must be able to occasionally move and lift office equipment and materials up to 25
pounds. - May require bending and reaching in areas from floor level to six feet high. Requires
pushing and pulling file cabinet drawers.
Requires the ability to distinguish letters or symbols and eye/hand coordination.
Work is performed in an office environment behind a desk where the noise level is
usually low.
