ESSENTIAL DUTIES AND RESPONSIBILITIES

With minimum supervision, handles the routine duties associated with the Reception areas of the Mary Cariola Center. Included in the diverse and multi-faceted responsibilities of the job will be the operating of the switchboard, intercom board system, use of multiple devices to communicate with staff, the greeting and directing of all visitors arriving at the Agency, processing Agency mail and secretarial responsibilities as assigned. May work at all Mary Cariola locations including the Elmwood Campus, East Henrietta Campus and East Avenue Campus.

RECEPTIONIST DUTIES:

Answer multi-line phone system, direct calls to the appropriate party, or take messages.

Collects, enters and disseminates student and staff attendance data.

Using cellular devices, the paging system and call board, answers emergency calls for nursing and behavioral support. Acts calmly, quickly and accurately to dispatch teams to the location of the emergency.

Plays an integral part in student arrival and dismissal by using the paging system, cellular devices and callboard to provide information to classrooms.

Interfaces with people on the telephone and personally in a responsive and appropriate manner while also accurately performing job tasks.

Creates a positive environment by welcoming visitors in person or on the telephone.

Connects visitors to appropriate Mary Cariola staff in manners that are consistent with our internal procedures.

Follows School Safety Plans including use of secure doors, issuing visitor badges and verification of identification.

Maintains telecommunication systems including phones, page board and cell phones (walkie-talkies).

Maintains safe and clean Reception area.

ADMINISTRATIVE ASSISTANT DUTIES:

Types reports, forms and other related materials as requested with the ability to produce errorless documents.

Handles other clerical requirements including filing, copying and mailing as requested.

Assists in organizing, maintaining and updating the school files and procedural manuals.

Assists the Data Entry team with duties as trained and needed.

Assists with preparation for staff training, conferences and in-services as assigned.

Deliver and pick up materials that need to be transferred between locations.

Performs other Administrative Assistant, clerical or computer tasks as assigned by the Superintendent or School Office Manager.
