We're looking to build the best teams possible with highly motivated and engaged employees. We have an exciting opportunity for a Human Resources Coordinator to join The Douglaston Companies. Essential duties and responsibilities:

  • Responsible for managing the new hire onboarding process including coordinating and leading New Hire Orientation sessions, sending out welcome emails, and partnering with IT and office/operations team members to ensure new hires are set up with the appropriate access and equipment.
  • Serves as the primary point of contact for HR queries, provides high-quality customer service and actively contributes to a positive and welcoming workplace
  • Provide support to the HR team and deliver core HR services to the workforce
  • Assist with the administration of the HRIS system, entering new hires, updating information, processing terminations, updating and maintaining checklists and ensuring necessary paperwork is completed timely.
  • Updating and maintaining organizational charts, rosters, company contact lists, ordering business cards, sending out birthday cards, employee swag and resetting Paycom passwords.
  • Assist with planning, coordinating and executing employee events, wellness initiatives, and internal communications.
  • Assist with payroll processing, timekeeping audits, and managing attendance records.
  • Redesign and executive internship program in partnership with the HR generalist.
  • Ensures all compliance signage is posted at all worksites.
  • Redesign and execute a high-touch onboarding experience while continuously refining onboarding materials and orientation presentations.
  • Administer leave of absence processes in collaboration with the Director of Payroll and Benefits
  • Maintain and update employee electronic files, SharePoint and assist with HR reporting and audit requests
  • Respond to initial unemployment claims and employment verifications
  • Support the recruitment team with staffing-related support activities
  • Maintain standards of strict confidentiality with respect to all matters and documents
  • Assist with special projects as assigned

Qualifications

  • Bachelor’s degree in human resources, Business Administration, or a related field.
  • 1 to 2 years’ experience in a Human Resources or administrative role, preferably as an HR Assistant or in a similar position.
  • Working knowledge of Paycom, Workday, or ADP is preferred
  • Working knowledge of Federal and New York State employment laws
  • Ability to recognize and react to changing work demands and complexities
  • Ability to work independently and escalate concerns when/where needed
  • Strong understanding of HR functions and procedures.
  • Able to maintain a high level of confidentiality and exercise good judgement
  • Advance skills in Microsoft Word, Excel, Outlook, Viso, and Power Point
  • Strong organizational and planning skills with a sense of priority for deadlines
  • Attention to detail with a strong sense of urgency and follow-up
  • Excellent communication skills, verbal and written
