We are seeking a highly reliable and detail-oriented IT Administrative Support Specialist to provide direct support to departmental executive leadership. This role combines executive administrative assistance with Tier 1 IT support, ensuring smooth operations and timely resolution of needs across the department.

The ideal candidate is professional, organized, and capable of managing competing priorities while maintaining accuracy and confidentiality.

Key Responsibilities

Executive & Administrative Support

• Manage executive calendars and coordinate meetings.

• Assist with travel arrangements and scheduling.

• Prepare, review, distribute, and file correspondence, memoranda, letters, and reports.

• Take and distribute notes and minutes at staff and interdepartmental meetings.

• Carry out special administrative or office operations projects.

• Serve on interdepartmental teams for process improvement initiatives.

• Maintain department records and files.

Departmental & IT Support

• Answer and route phone calls, emails, and written inquiries.

• Handle Tier 1 IT support tickets, escalating when needed.

• Fulfill open records requests.

• Maintain and schedule conference room calendars.

• Welcome and direct visitors.

• Sort and distribute mail.

General Expectations

• Work under general supervision, independently or as part of a team.

• Complete assigned tasks accurately and on time.

• Maintain a punctual and professional presence, as this is a highly relied-upon position.

Qualifications

• Minimum 2 years of experience directly supporting executives (scheduling, travel coordination, and administrative tasks required).

• Proven ability to manage multiple priorities in a fast-paced environment.

• Strong organizational, written, and verbal communication skills.

• Experience handling confidential information with discretion.

• Familiarity with IT support processes; ability to resolve Tier 1 IT issues preferred.

• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Contract Details

• Duration: September 2, 2025 – December 31, 2025

• Schedule: Monday – Friday, 8:30 AM – 5:00 PM (on-site only)

• Breaks: 30-minute unpaid lunch

• Start Date: Must be available to start immediately
