The IT Procurement Specialist is responsible for managing the acquisition, licensing, inventory, and lifecycle of the organization's hardware, software, and IT-related services. This role ensures compliance with licensing agreements, optimizes asset utilization, and provides visibility into all technology assets across the organization. The IT Procurement Specialist will coordinate with procurement, finance, and IT teams to manage vendor relationships, control IT costs, and ensure timely renewals of licenses and subscriptions.
Duties/ Responsibilities:
- Manage the full lifecycle of IT assets, including hardware, software, and cloud-based services, from procurement to disposal.
- Maintain accurate records of all IT assets in the asset management system.
- Track and ensure compliance with all software licensing agreements.
- Monitor and manage renewals for licenses, subscriptions, and maintenance agreements.
- Optimize license utilization to reduce unnecessary costs and ensure appropriate allocation of resources.
- Oversee SaaS and cloud service subscriptions, ensuring alignment with organizational needs and budget.
- Work with vendors to negotiate pricing, terms, and service-level agreements.
- Partner with procurement and finance teams to align IT purchasing with organizational goals and compliance requirements.
- Provide reporting on IT asset inventory, utilization, compliance status, and cost trends.
- Implement and maintain policies, procedures, and best practices for IT procurement and asset management.
- Support IT audits by providing asset documentation and compliance reports.
- Stay current on industry trends, licensing models, and emerging technologies.
- Perform other related duties as assigned.
Required
- High school diploma or equivalent.
- Bachelor's degree in Information Technology, Business Administration, Supply Chain Management, or related field.
- IT Asset Management or Software Asset Management certifications (e.g., ITIL, CSAM, CHAMP, CITAM) a plus.
- 2+ years of experience in IT procurement, IT asset management, or a related field.
- Experience managing software licenses, SaaS subscriptions, and IT hardware inventory.
- Experience working with procurement systems, asset tracking tools, and vendor management.
- Strong understanding of software licensing models and compliance requirements.
- Excellent organizational and recordkeeping skills.
- Strong vendor negotiation and relationship management abilities.
- Proficiency with asset management and procurement software tools.
- Analytical skills to evaluate cost optimization opportunities.
- Strong attention to detail and accuracy.
- Effective verbal and written communication skills.
- Ability to work collaboratively across IT, procurement, and finance teams.
- Knowledge of ITIL asset management best practices preferred.
