Job Summary
As a patient-focused organization, UCSF Medical Center exists to enhance the health and well-being of people through patient care, research and education. The Practice Coordinator represents the administrative team as the public face of the Practice and collaborates with administrative, clinical and management teams to support practice operations and customer service recovery and intervention efforts. The role provides support to all functions of the administrative teams including but not limited to: CRM messages, telephone encounters, referrals, APeX in-baskets, scanning, filing, authorizations, and billing.
The Practice Coordinator maintains routine clerical operations and communications, adheres to UCSF House and Telephone Standards, and is attentive to the needs of patients, staff and providers. The role requires teamwork, flexibility with changing priorities, and the ability to problem-solve and facilitate complex transactions in daily activities. This position contributes to patient care in an outpatient unit by ensuring accurate information flow between medical and hospital staff to maximize unit efficiency. The Practice Coordinator may be required to work at any UCSF campus as needed and scheduled. The final salary and offer components are subject to UC policy and internal equity considerations.

Required Qualifications
- High School graduate or equivalent with four years related experience; or college degree and 6 months related experience; or equivalent combination of education and experience.
- Successfully passes fingerprinting protocol and is approved to be a cash collector. Strong computer skills, including basic keyboarding and experience with at least two Office-type software programs (e.g., Outlook, Word and Excel).
- Proven ability to navigate multiple patient records systems.
- Able to sit at a computer terminal with telephone headset for extended periods.
- Ability to analyze situations, prioritize, develop solutions, and make recommendations.
- Ability to work with minimal supervision and independently, sometimes under deadlines.
- Excellent customer service and communication/interpersonal skills, both over the telephone and in person.
- Basic math skills; ability to deal with a wide variety of individuals and to work sensitively with patients.
- Excellent organizational and problem-solving skills; strong writing skills for composing, editing, and proofreading documents.
- Demonstrated administrative/office coordination skills and knowledge of medical practice terminology.
- Within six months of start date, complete proficiency checklist with supervisor (as applicable), including referrals, pend orders, scheduling surgeries, messaging, telephone encounters, patient look-up, check-in/out, and related tasks.
Preferred Qualifications
- Demonstrated experience in health care settings (e.g., medical, dental, or veterinary) in patient scheduling, insurance verification, medical record data abstraction, or patient financial services.
- Experience with appointment, ancillary service, or surgical scheduling; or a combination of all three.
- Bi-lingual or multi-lingual capability (Spanish, Cantonese, Russian) strongly preferred.
- Prior experience with EPIC.
