The School Receptionist serves as the first point of contact for students, parents, staff, and visitors. This role is crucial in maintaining a welcoming and organized front office environment while supporting the school's daily operations. The ideal candidate will possess excellent communication skills, a friendly demeanor, and the ability to multitask efficiently in a fast-paced educational setting. Key Responsibilities Reception Duties:
Greet and welcome all visitors, students, and staff in a professional and courteous manner Answer and manage incoming phone calls, emails, and general inquiries Direct visitors to appropriate staff members or departments Maintain a clean and organized reception area Ensure visitor sign-in procedures are followed and security protocols are adhered to
Administrative Support:
Manage and distribute incoming and outgoing mail and packages Assist with scheduling appointments and maintaining calendars for school administrators Process and file various forms, reports, and documents Coordinate room bookings and manage facility usage requests Assist with the preparation of school communications, such as newsletters and announcements
Student Support:
Monitor student sign-in/sign-out procedures Assist with attendance tracking and reporting Provide basic first aid and care for students who are ill or injured, following school policies and procedures Liaise with parents regarding student absences, late arrivals, and early departures
Data Management:
Maintain accurate and up-to-date student and staff records in the school's database system Generate reports and lists as requested by school administrators Ensure the confidentiality and security of all school-related information
Event Support:
Assist with the coordination and execution of school events, such as open houses, parent-teacher conferences, and award ceremonies Prepare and distribute event-related materials and information Help manage guest lists and RSVPs for school functions
General Office Management:
Maintain office supplies inventory and place orders as needed Operate and maintain office equipment, such as copiers, printers, and fax machines Assist with light bookkeeping tasks, such as processing payments for school
