Job Title: School Receptionist

Department: Administrative Services

Reports to: School Principal or Office Manager

Position Overview

The School Receptionist is the first point of contact for students, parents, and visitors. This role is responsible for managing the front desk, providing excellent customer service, handling communications, and supporting administrative operations. The ideal candidate will be organized, professional, and capable of managing multiple tasks in a busy school environment.

Key Responsibilities

  • Front Desk Management:
    • Greet and assist students, parents, staff, and visitors in a courteous and professional manner.
    • Monitor visitor access and maintain security protocols by issuing visitor passes and directing guests appropriately.
    • Answer and manage incoming phone calls, emails, and inquiries; provide accurate information or direct them to the appropriate departments.
  • Administrative Support:
    • Maintain the school's reception area, ensuring it is clean and organized.
    • Sort and distribute incoming mail and packages; prepare outgoing mail.
    • Assist with data entry, filing, and maintaining school records as needed.
    • Schedule appointments and meetings for school staff and maintain calendars.
    • Operate office equipment such as copiers, fax machines, and phones.
  • Student Support:
    • Manage student check-in/out procedures, including tardiness, early dismissals, and verifying student attendance records.
    • Assist students with questions or issues regarding schedules, school policies, or locating classrooms and teachers.
  • Emergency Procedures:
    • Act as a point of contact for emergencies, directing emergency calls or messages to the appropriate personnel.
    • Maintain a calm and organized demeanor during crisis situations, ensuring students and visitors are safe and informed.
Qualifications

  • Education: High School Diploma or GED required.
  • Experience: Previous experience in a receptionist, administrative assistant, or customer service role; experience in a school setting is a plus.
  • Skills:
    • Excellent verbal and written communication skills.
    • Strong organizational and multitasking abilities.
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment.
    • Ability to remain calm and professional in a fast-paced environment.
    • Strong interpersonal skills and the ability to work collaboratively with students, staff, and parents.
    • Ability to maintain confidentiality of sensitive information.
Work Environment

This role requires the ability to work in a busy school environment with frequent interruptions and high foot traffic. The position is typically full-time during school hours, with occasional extended hours for special events.
