Job Summary: The Executive Assistant & Administrator provides high-level administrative and operational support to the Executive/Director Team and oversees a team of administrative assistants. This role requires strong organizational and leadership skills, the ability to manage complex schedules, supervise staff, and ensure that all administrative operations run smoothly. The ideal candidate will maintain professionalism and confidentiality while coordinating internal processes, managing executive communications, and improving administrative efficiency across the organization.
Supervises: Administrative Assistants
Supervisory Responsibilities: • Lead and manage the administrative team, assigning tasks based on workload and skill level. • Provide mentorship, support, and performance feedback to administrative assistants. • Conduct performance evaluations, recommend training, and support professional development. • Establish and maintain office protocols, workflows, and process documentation. • Monitor team output for accuracy, timeliness, and quality, ensuring adherence to company standards.
Duties/ Responsibilities: • Manage and maintain the Executive/Director calendar, including scheduling meetings, job site visits, and events. • Coordinate logistics for executive meetings, safety summits, trade partner events, and travel. • Screen and prioritize incoming emails, calls, and other communications on behalf of the Executive/Director. • Draft, edit, and format correspondence, reports, presentations, and internal communications. • Handle sensitive information and documentation with utmost confidentiality and discretion. • Act as a liaison between the Executive/Director and project managers, clients, stakeholders, and vendors. • Manage the digital and physical filing systems for permits, contracts, compliance, and reports. • Oversee office supply inventory, equipment procurement, and maintenance needs. • Coordinate invoice tracking, expense reporting, and credit card reconciliation for the executive team. • Support new hire onboarding for administrative staff and help develop training materials. • Ensure administrative processes (filing, data entry, job tickets, document distribution) are efficient and standardized. • Assist with compiling operational dashboards and executive-level performance metrics. • Provide administrative support for special projects as assigned by the Executive/Director. • Perform other duties as assigned.
Education/Certifications/Licenses • Education • High School Diploma or GED Required • Associate's or Bachelor's degree in Business Administration, Management, or related field • Licenses • Valid Driver's License required
Experience • Minimum 7 years of administrative experience, with at least 3 years in executive-level support. • Minimum 2 years of supervisory experience managing administrative or office teams. • Experience in a clinic, healthcare environment preferred. • Proficiency with complex calendar management, meeting logistics, and office systems.
Required Skills/Abilities • Strong leadership and team coordination skills. • Excellent verbal and written communication skills. • Proficient in Microsoft Office, Google Workspace, and construction platforms (e.g., Procore, PlanGrid). • High attention to detail, time management, and multitasking ability. • Ability to maintain confidentiality and exercise sound judgment. • Demonstrated problem-solving and organizational skills.
