Job Title: Administrative Assistant
Location: Baltimore, MD
Duration: Temporary (4-6 months)
Schedule: Monday-Friday, 8 AM – 5 PM
Job Summary
MMG is seeking an Administrative Assistant to support our clients' needs in the Baltimore area. This role is responsible for a high level of customer service to a variety of groups, including students, faculty, staff, alumni, external stakeholders, and the public. The person will answer telephone and email inquiries received by the Office of the University Registrar. Work as part of a cross-functional team providing office support with registration functions, front counter coverage, and records management. This position will also be responsible for data entry, scanning, drafting, and editing documents, and project management support. The position requires someone who is detail-oriented, has excellent customer service skills, and can provide consistent, high-quality services to meet operational needs.
Responsibilities
- Greeting visitors: Welcome visitors in a friendly manner and direct them to the correct office or person.
- Answering phone calls: Answer and screen phone calls, take messages, and direct calls to the correct department or employee.
- Handling mail: Receive, sort, and deliver mail, documents, packages, and courier deliveries.
- Providing administrative support: Perform basic filing and recordkeeping, fax, transcribe, and make copies. Handle data entry for work orders and acknowledgments.
- Maintaining the reception area: Keep the reception area and common areas clean and tidy.
- Providing customer service: Respond to customer inquiries in a polite and timely manner. They should have strong communication and organizational skills, be able to multitask, manage time well, and have a customer service attitude. They should also be proficient in Microsoft Office software and have a high level of professionalism and courtesy.
