Space Planner / Moves Manager
We are seeking a Space Planner / Moves Manager to support a fast-paced facilities team. This role is fully onsite in Santa Clara, CA. This position plays a critical role in overseeing relocations, workplace changes, and space utilization efforts to ensure seamless operations for employees. The role requires strong project management skills, vendor coordination, and the ability to lead moves and change initiatives under tight timelines. Key Responsibilities: Move & Relocation Project Management Manage relocation projects, including scheduling, budgets, and vendor resources. Lead RFQs, estimates, and planning for small to large-scale moves. Oversee cleaning and preparation before and after moves. Audit relocation and reconfiguration work after-hours to ensure readiness for client use. Serve as the primary point of contact for all move-related communications. Communication & Coordination Act as liaison between internal teams, external vendors, and stakeholders. Attend planning meetings and ensure alignment across all parties. Coordinate move logistics while maintaining health and safety compliance. Procurement & Vendor Management Submit purchase requests and manage purchase orders. Track invoices and vendor performance for move-related services. Inventory & Furniture Management Partner with warehouse staff to maintain accurate furniture inventory. Audit onsite assets and ensure utilization accuracy. Act as the point of contact for furniture inventory management. Team Support & Back-Up Responsibilities Provide back-up support for Client MAC Coordinator on daily scheduling and move activities. Assist with name tag installations and workstation updates. Mentor and coach junior staff while cross-training team members. Documentation, Compliance & Auditing Ensure compliance with regulatory and company standards. Audit workstations and shared spaces for accuracy, repair, and functionality. Troubleshoot and resolve operational issues as needed. Requirements: Experience: 35 years of relevant space planning, moves management, or facilities project management experience. Education: Bachelor's degree required (or equivalent combination of education and experience). Skills: Strong leadership and communication skills to lead teams and handle sensitive issues. Proficiency in Microsoft Office (Word, Excel, Outlook) required; SAP and CAD experience a plus. Strong organizational and problem-solving skills with attention to detail. Ability to perform financial calculations (percentages, fractions, budgets).
