SUMMARY:

The Executive Assistant (EA) provides high-level, strategic support to the Chief Operating Officer (COO), serving as a trusted partner in managing day-to-day priorities and long-term planning. This role ensures the COO's time, relationships, and communications are aligned with organizational goals. The EA prepares materials, attends meetings, and represents the COO as needed. They support board engagement, lead logistics for key events, and coordinate the COO's visibility across social media, philanthropy, and community partnerships to strengthen relationships with funders, civic leaders, and the broader public. The role requires sound judgment, exceptional discretion, and the ability to operate with minimal direction in a fast-paced, mission-driven environment. Essential Job Duties and Responsibilities

Supports and implements the organization's vision, mission, and values. Determines priorities and method of completing daily workload to ensure that all responsibilities are conducted in a timely manner. Performs all job functions in a professional and courteous manner. This includes answering all general phone calls timely and providing excellent customer service to internal and external customers. Fosters and promotes a culture of service excellence and accountability. Ensures the COO is informed, prepared, and focused on high-impact priorities. Manages complex calendars, meetings, and travel logistics with accuracy and foresight. Drafts and refines communications, presentations, reports, and correspondence in the COO's voice. Leads preparation and follow-up for board meetings, retreats, and executive convenings. Supports the COO's public presence by drafting and coordinating social media content, preparing for philanthropic engagements, and managing communications with civic and community partners to elevate Gracelight's mission and leadership voice. Serves as a liaison with the Board of Directors, senior leadership, funders, and key community stakeholders. Support strategic initiatives by tracking progress, identifying issues, and coordinating deliverables. Exercises sound judgment and discretion when handling sensitive, confidential, or time-critical matters. Manages records, expenses, and other administrative tasks to ensure smooth executive operations. Performs other duties as needed to advance the COO's effectiveness and Gracelight's mission. Qualifications, Skills & Abilities

Bachelor's degree required. Minimum 5 years of experience supporting senior executives, with increasing levels of responsibility; experience in healthcare or mission-driven settings preferred. Exceptional writing, editing, and verbal communication skills, with the ability to represent the COO's voice in correspondence, reports, and public-facing content. Demonstrated success in managing complex calendars, meetings, and travel for high-level leaders. Strong judgment, discretion, and professionalism when handling sensitive information and high-stakes situations. Adept at navigating ambiguity, shifting priorities, and operating independently in a fast-paced environment. Comfortable serving as a liaison with board members, funders, civic leaders, and senior internal staff. Highly organized with a proactive mindset; anticipating needs and resolving issues before they arise. Technologically fluent with tools including Microsoft Office, Outlook, Zoom, project/task management systems, and social media platforms. Deep appreciation for Gracelight's mission and commitment to health equity; emotionally intelligent and aligned with a culture of service and impact. Flexibility to work both remotely and onsite as needed, including the ability to attend impromptu meetings or handle urgent issues in person at any of Gracelight Community Health's locations.
