Location: Boulder, Colorado Position Type & Term: Full time, Regular Visa Sponsored Job: No Relocation Assistance Eligible: No Work Location: This position supports in-person (onsite) and/or hybrid work arrangements (minimum 3 days/week onsite, plus occasional events). UCAR positions are performed within the U.S., excluding U.S. Territories. What You Will Do
Key responsibilities include travel logistics, staff and visitor coordination, and administrative support to the CISL lab. Key Responsibilities
Travel (Staff and Visitors): Plan and manage lab travel workflows (international and domestic), ensure compliance with travel regulations and UCAR/CISL policies, assist with documentation (authorizations, vouchers, visas, reimbursements), calculate per diems, coordinate visitor arrangements, and provide onsite support and orientation. Special Projects, Workshops, Meetings and Other Administrative Support: Provide onsite administrative support, coordinate offices and supplies, assist with access and onboarding, maintain schedules, communicate deadlines, support administrative processes, and may take meeting minutes. Purchasing: Prepare and track purchases and office supplies using appropriate methods and systems. Reports and Reconciling: Monitor and reconcile account activity, manage expenses, transfers, and reimbursement requests; maintain records. Decision Making & Problem Solving: Manage competing needs from a large, distributed group, apply discretion and good judgment, work independently on routine tasks with supervision on projects. Qualifications
Education & Experience: High school diploma or equivalent; minimum two years of relevant experience, or a combination of education and experience. Knowledge, Skills, And Abilities (Required): Office procedures in onsite and remote environments; proficiency with word processing, graphics, presentation, database, financial tools, and spreadsheets. Basic computational math (percentages, decimals). Advanced oral and written communication skills; ability to compose general correspondence and edit non-technical portions of technical documents with correct grammar and formatting. Ability to prioritize tasks and manage travel logistics. Ability to apply and communicate UCAR policies and work onsite and independently in a team environment. Discretion in handling confidential information. Preferred but not required: Knowledge of Concur, UProcure, Workday or similar systems; knowledge of technical terminology relevant to the division/program. Benefits Overview
