Overview
The Property Manager is accountable for all property operations. The purpose of the Property Manager is to effectively manage and coordinate persons, activities and available resources in order to accomplish property objectives as set forth by the Regional Manager and the Property Owner. These objectives will include maximizing occupancy levels and property values. In addition, the Property Manager will train the Assistant Property Manager to assume all duties of the Property Manager in the event of the Property Managers absence. Responsibilities
Conform to Gates Hudson & Associates, Inc. policies and procedures, and comply with all Federal, State, and County Fair Housing Laws, the Americans with Disabilities Act, and other applicable laws relating to apartments. Financial: assist in the preparation of the annual budget and stay within budget guidelines; ensure routine expenditures align with owner-approved budgets; control purchases and use approved vendor lists; process, approve and submit all invoices to the Corporate Office weekly; maintain and reconcile petty cash; enforce rental payment policies and pursue delinquent accounts. Personnel: with Regional Managers approval, hire and terminate on-site staff; train, motivate and supervise staff; conduct new employee indoctrination and annual performance reviews; review and approve timesheets; conduct ongoing training for office staff; supervise the entire property staff. Administrative: address resident complaints; manage applicant qualification process; ensure lease accuracy and compliance with Gates Hudson policies; maintain office files and records; communicate with vendors/contractors; prepare rent increase lists for Regional Managers approval; review mail and correspondence; attend corporate management and on-site staff meetings; provide clerical support as needed. Administrative Leasing Duties: correctly complete all lease applications and verifications; notify prospects of results; complete lease paperwork and related addendums; manage guest cards and follow-up; maintain accurate records and generate daily, weekly, and monthly reports; inventory office supplies; provide clerical duties as needed. Administrative Accounts Receivable Duties: adhere to accounts receivable checklist; collect, verify and post tenant payments; deposit all monies daily; contact delinquent tenants, issue reminders, and follow up; print, review and audit delinquent/prepaid reports; assess non-recurring charges in accordance with lease and regulations; issue notices for non-payment; forward delinquent accounts to attorneys as needed; reconcile security deposits and move-out accounts; process bad debt and forward to collections as needed. Marketing: welcome and show property to prospective residents; review advertising for accuracy; promote referral programs; contribute ideas for marketing and resident satisfaction. Resident Relations/Retention: maintain positive customer service; promote goodwill among prospects, residents, coworkers, and contractors; review notices to vacate and attempt to reduce move-outs; conduct move-in/move-out inspections; supervise routine maintenance and ensure resident satisfaction. Property Maintenance: inspect property regularly; coordinate maintenance with contractors; monitor and schedule maintenance activities; oversee preventative maintenance and energy management programs. Safety: provide timely feedback in emergencies; document incidents; ensure workers compensation paperwork is completed; promote safety and security to reduce liability and protect residents and staff. Qualifications
High School degree or equivalent required. LIHTC/Affordable experience preferred. 2-5 years of experience as a Property Manager. Ability to work independently and as part of a team. Knowledge of landlord/tenant, ADA, and fair housing laws. Ability to lead, develop and mentor a team. Strong organization skills to coordinate work, set priorities, and motivate others.
