Perelman Department of Emergency Medicine Research Division. The Program Coordinator will work under the direction of the Assistant Director for Research to provide administrative support and coordination for the division. The role involves a range of programmatic and administrative activities including establishing and maintaining organizational processes, assisting with pre-award grant components, assisting with IRB submissions, training new department members on research processes, preparing presentations and monthly leadership reports, managing internal and external communications regarding division activities, and assisting with financial transactions and related duties. Responsibilities
Demonstrates knowledge of the organization's core values and incorporates them into duties. Grants assists in pre-award activities such as developing grant components, letters of support, Other Support documentation, maintaining faculty biosketches, human subjects documents, and assisting non-research faculty in grant submissions. Partners with the team to collect and organize required paperwork for submission and follows up on issues. Post?Award facilitates tracking/monitoring of subaward agreements, reviews contracts for budget accuracy, maintains subaward trackers for PIs, liaises with contracts team, and manages consultant agreements (drafting/modifying SOWs and monitoring execution). Coordinates SPA/POD meetings to ensure cross-entity coordination. Research Activities provides guidance on IRB submission processes for non-research faculty and assists with IRB submissions for research faculty. Trains new research staff and faculty on IRB processes; assists with continuations, modifications, and close-outs as needed. Project/Program Coordination provides moderate to advanced coordination for project/program activities, including coordinating with internal and external parties, developing schedules, overseeing purchases, travel reimbursements and invoicing, and contributing to departmental plans and procedures. Reports prepares and reviews documents, generates status/progress reports, drafts letters/memos/agendas/presentations/reports, and coordinates approvals. Follows grant and institutional policies and procedures. Project/Program Support assists in onboarding and training clerical staff, assistants, trainees, and volunteers; supervises the Administrative Assistant in facilities management, mail distribution, and scheduling; reviews workflow and suggests improvements for efficiency. Participates in special projects and performs other duties as required. Minimum Qualifications
A Bachelor's degree or equivalent in business administration, health care administration, or related field, or an equivalent combination of education and relevant experience. Proficiency in Microsoft Office (Word, Excel, Access, PowerPoint, Outlook). Familiarity with Internet applications. Effective oral and written communication and interpersonal skills. Ability to interface with all levels of management and both internal and external customers. Ability to work in a team and independently, strong time management, and the ability to manage multiple projects with attention to detail. Preferred Qualifications
