Receptionist
Receptionist is directly responsible for greeting visitors, giving tours and gathering personal information from inquiries, answering telephones, taking/delivering messages and responding to community supervisor directions. Duties and responsibilities include:
- Greeting all visitors, giving tours and assisting as needed.
- Maintaining records of resident sign in and sign out.
- Answering the telephone in a polite and courteous manner. Forwarding calls, taking messages and delivering those messages to appropriate personnel.
- Completing direct inquiry sheets on prospects.
- Monitoring resident activity and alerting staff when assistance is necessary to assure residents' safety.
- Monitoring community guests & visitors entrance/exit in accordance with community policy and procedure.
- Maintaining request lists for maintenance, dietary and nursing in an appropriate manner.
- Maintaining security of equipment within the business office.
- Maintaining familiarity with fire safety and emergency procedures detailed in the fire and disaster plan.
- Performing light office work as assigned.
- Assurance that lobby area, reception area and entry area is kept clean, neat and orderly.
- Notifying appropriate staff of unsafe situations within the building or grounds.
- Notifying administrator of any resident emergency or hospital transport.
- Working with other staff to maintain continuous coverage of front desk, telephone answering, taking and delivering messages.
- Assisting in leading out at various activities as assigned by community supervisor.
- Performing other tasks as assigned by any member of management.
- General upkeeps of spreadsheets.
Job qualifications include:
- Ability to read, write and speak English fluently.
- Ability to speak clearly on the telephone and maintain a pleasant presence and tone of voice while interacting with visitors, residents or staff.
- Maintains acceptable attendance record; notifies supervisor if late or unable to work, is able to work flexible hours to meet the requirements of the job.
- Requires minimal supervision. Is a self-starter.
- Is accurate, dependable, neat and thorough in assigned tasks.
- Organizes and utilizes time appropriately; sets priorities to accomplish assigned tasks.
- Displays mature behavior and attitude in speech and action; demonstrates consistently pleasant demeanor, tone of voice, supports the philosophy and approach to care used by the community.
- Keeps resident information confidential; respects resident's rights; respects privacy and right to self-determination of residents.
- Interacts in a professional manner with the public, residents and staff, works cooperatively with administration and displays willingness to assist co-workers.
- Abides by established policies and procedures of community. Looks for ways to improve community functioning; keeps community information confidential.
- Keeps work area neat and clean; helps maintain the appearance of the community.
- Is free of non-treated communicable disease.
- Ability and willingness to learn quickly.
- Universal Precautions: Exposure to blood/bodily fluid is unlikely.
- Physical requirements: Performs occasional lifting, up to 30 pounds (moderate workload).
