in their search for a Senior Administrator. This is an

Job Duties:

IT Administrative Support (55%)

• Process invoices and submit Zycus Goods Receipts (GR) for IT and telecom – related expenses

• Follow up with IT and other departs to resolve expenses that fall outside standard payment patterns

• Collaborate with Procurement and Accounts Payable to resolve invoice payment issues

• Create purchase order (PO) requisitions for IT budget items as needed

• Support and guide associates in creating PO requisitions for IT – related goods and services

• Maintain and update the telecom expense worksheet for annual tracking and budgeting purposes

• Assist in the annual IT budget planning process

• Create inter-company invoices for IT services performed for or on behalf of subsidiaries

• Submit vendor contracts for legal review

• Submit Statements of Work (SOWs) to the Legal System (Ascent), create legal matters, and track SOWs across vendors

• Collect monthly hours and invoice data from vendors and internal teams for IT monthly accruals

• Utilize Zycus for invoice tracking, reconciliation, and report generation

• Act as a Level 1 approver for all IT purchase orders; review and approve PR/PO requests in Zycus

• Provide support to product owners from various cost centers on creating purchase requests and resolving related questions

Coordination (25%)

• Coordinate and track the return of old laptops and PCs as part of the replacement process

• Coordinate and publish a monthly IT newsletter

• Coordinate the collection of contractor work hours and ensure correct allocation to expense accounts

• Attend Bi-weekly/weekly touch base meetings with vendors to review the status of SOWs of vendor resources

Licensing (20%)

• Renew Adobe license annually by consolidating data from multiple sources

• Ensure licensing assignments are up to date and accurately reflect

Qualifications:

Education in Finance, Accounting, or related field (Required or equivalent experience)

Procurement systems and processes for an IT organization; Experience with supporting budget tracking, forecasting, and financial operations support

Knowledge of Zycus Procurement System (Preferred)

Knowledge of billing, procurement, and accounts payable processes and systems for IT

Pay Details:

$30.00 to $35.00 per hour
