About This Role As part of Intersects Chief of Staff office, youll serve as a trusted partner to the COO and a key connector across our executive team, internal partners, and external stakeholders. Youll manage complex scheduling, prepare executives for critical engagements, and provide dedicated support during high-priority initiatives. At the same time, youll ensure our Houston office runs smoothly creating a functional, welcoming, and well-coordinated workspace for employees and visitors. This is a highly visible role that requires discretion, adaptability, and exceptional organizational skills. Executive Support & Coordination

Manage complex calendars, anticipate conflicts, and strategically build in buffers to keep schedules running smoothly Coordinate travel across multiple time zones and process expense reports accurately and efficiently Prepare briefing materials, draft correspondence, and handle confidential information with discretion Partner with external executive assistants to secure high-priority meetings and manage communication flow Act as a gatekeeper and strategic partner, prioritizing tasks and maximizing executive productivity Cross-Functional Collaboration & Event Coordination

Serve as a liaison across teams and with external partners, ensuring seamless communication Anticipate executive needs ahead of key meetings by compiling and organizing critical information Partner with leadership to plan and execute company-wide meetings and high-impact events Operational Excellence & Problem-Solving

Identify opportunities to streamline processes, improve efficiency, and enhance executive workflows Manage special projects and balance competing priorities with adaptability and precision Apply sound judgment and discretion in decision-making Office Management

Oversee day-to-day office operations, ensuring a clean, safe, and well-functioning workplace Coordinate with vendors, IT, and facilities teams to support office needs and resolve issues quickly Manage mail, visitors, supplies, and office maintenance with professionalism and care Support new employee onboarding, desk setup, and office orientation Lead health and safety protocols and contribute to an inclusive, welcoming office culture What Youll Bring

Availability to be in the Houston office at least 3 days a week ; flexibility for additional in-office needs 5+ years of combined Executive Assistant and Office Manager experience supporting senior executives A bachelors degree in business, administration or equivalent experience Exceptional organizational skills and ability to manage multiple priorities with attention to detail Strong communication and relationship-building abilities across executives, board members, and stakeholders Proficiency with Slack, Google Suite, Microsoft Office, and productivity tools A proactive, resourceful mindset with strong problem-solving skills High level of discretion, confidentiality, and emotional intelligence Commitment to fostering belonging and inclusivity in the workplace Notary Public certification (or willingness to obtain with company support) preferred Total Rewards
