Contract Duration: Initial 1 year contract with potential to extend. Job Summary: We are seeking a detail-oriented Document Control Specialist to support document and records management activities across various projects. In this role, you will utilize Enterprise Content Management Systems (ECMS), including Aconex, to manage the receipt, distribution, maintenance, and retrieval of project records in compliance with company policies and procedures. You will play a key role in ensuring data accuracy, assisting internal and external stakeholders, and contributing to continuous improvements in document control processes. Responsibilities
Provide document and records management services in alignment with company standards and procedures. Receive, process, distribute, retrieve, and maintain documents and records within the ECMS. Conduct data entry and ensure the accuracy of document metadata in the system. Perform daily, weekly, and monthly quality checks on document entries for data integrity. Support internal and external customers by addressing document-related questions, issues, and actions. Assist project teams with document numbering, electronic signatures, legibility requirements, and workflow processes. Provide guidance on records security classification policies and procedures. Gather and compile data for project metrics, audits, and self-assessments. Maintain and update work instructions, procedures, and desktop guides. Recommend process improvements and contribute to automation initiatives for enhanced efficiency. Qualifications
4 to 6 years of document control or records management experience, preferably in the Oil and Gas industry. Associate degree or technical training in a related field preferred. Aconex experience required. Strong attention to detail with a focus on data accuracy and compliance.
