Academic Coordinator, CM&L and B&TS Departments Position Description Thisposition assists and coordinates office services for the graduate ChristianMinistry & Leadership Department and the Biblical & Theological StudiesUndergraduate Division. The AcademicCoordinator provides administrative support to the Biblical & TheologicalStudies Program Administrator by performing receptionist and secretarialduties.

Educational Requirements High School diploma required, B.A. and/or some academic background preferred.

Work Requirements Non-exempt (02), full-time 40 hours per week, 12 months per year This position requires personal attendance at Biolas campus in La Mirada, CA.

Essential Duties Faculty Support Provide administrative support for the Department Chair of the Graduate Christian Ministry and Leadership Department. Provide administrative support for the departments faculty. Manage, coordinate and process the application and hiring of full-time and adjunct faculty for the Graduate Christian Ministry and Leadership Department. Assist faculty with their calendars. Supports full-time and part-time faculty with a variety of course-related tasks (e.g. textbook orders, desk copies, library copies, grade submission, class evaluations). Serves as an Accessibility Point Person for faculty, checking course materials for accessibility. Provides light editing for course packs and other course-related documents. Student Support Provide academic advising services to address curriculum questions raised by students and other departments. Assist students with scheduling, including late adds, drops, and overrides. Maintain up-to-date program information to assist students in the registration process. Assist students with class schedules. Proctor individual exams with students inside the office as needed by faculty. Coordinate and track writing competency papers. Administrative Support Provides receptionist assistance by meeting and greeting faculty, students, and staff, and distributing mail and packages for the departments. Monitor enrollment and coordinate enrollment requirements with respective faculty. Review and revise class descriptions for annual university catalog revisions. Create and maintain database for assessment purposes. Plan and budget events, conferences, lecture series, department meetings and receptions. Prepare and track all accounting documents, such as Reimbursement Requests, Journal Entries, Journal Receipts, Compensation Requests, and assisting with Concur. Performs clerical work for the office (e.g. photocopying, shredding, ordering supplies, filing). Maintain syllabi repositories. Process and track library acquisitions for the departments. Order and maintain office supplies for CM&L Department and Feinberg Hall. Maintain alumni assessment databases and surveys for ATS/WASC. Maintain alumni databases. Supervise and delegate tasks to student assistant. Perform other duties as assigned. Graduate Christian Ministry &Leadership Department Manage department AUL forms, course scheduling, arranged courses,substitution requests, registration overrides, facilities and campuscoordination requests. In coordination with the DepartmentChair and the Deans Offices, schedules courses for the graduateChristian Ministry & Leadership department, ensuring appropriateseat and classroom availability. Plan and budget events, conferences, lecture series, department meetings and receptions. Order and maintain office supplies for CM&L Department and Feinberg Hall. ManageHandshake for church employment opportunities, reviewing doctrinalalignment of churches with Biola and assisting churches with questions. Biblical & Theological StudiesDivision Assists Program Administrator with the registration process monitoring enrollment, reserved seating. Assists Program Administrator with course scheduling. Creates and maintains Faculty Book Grant Log. Assists faculty with data entry for larger survey courses. Track Writing Competency results. Required Skills and Qualifications Understanding of and commitment to the mission of Talbot School of Theology. 2-4 years of administrative office experience. Some experience working in an academic environment is preferred. Self-initiating person who is organized and able to work independently with minimal supervision. Excellent written and verbal communication, grammar and spelling skills, and telephone manners. Ability to formulate and articulate sound policies. Demonstrate capacity to identify, resolve, and consult on a wide range of administrative and personnel issues. High level of computer skills with working knowledge of Mac and PC computers, Microsoft Office, Google Applications, and Adobe Acrobat. Type a minimum of 50-65 words per minute with accuracy. Demonstrated experience in successful completion of multiple significant projects, events and responsibilities. Warm, interpersonal skills, personable, cordial, professional demeanor, and works well with a team. Ability to work with many different people and handle a variety of tasks, all with a good sense of humor. Dependability, integrity and ability to receive and implement suggestions from supervisors. Willing to be flexible and sustain a learning posture. Open to supervision with a teachable spirit. Ethical competence. Ability to work with a diverse constituency and promote an effective work environment. Strong, stable and mature Christian faith. Maintain a lifestyle consistent with sound Christian principles and the standards of conduct of Biola University. Willing to work at occasional evening or weekend events sponsored by the initiative. Willing and able to walk substantial distances and climb stairs on campus without accommodation. Willing and able to serve as interdepartmental courier, making frequent deliveries and pickups and performing other jobs that require substantial walking around the campus and climbing stairs.Able to lift heavy boxes and packages while sorting and delivering the mail.

Hiring Range:
