The Office of the Deputy Mayor for Communications coordinates citywide communications, breaking down silos between agencies and ensuring a unified message to New Yorkers under Deputy Mayor Fabien Levy. About the Role

This role will support the core components of the Deputy Mayor for Communications' office by managing the team's workflow, ensuring the operational efficiency of the office, supporting the day-to-day operations of the office, providing input on long-term strategic initiatives, and developing communications materials to advance administration priorities. Responsibilities Maintain and manage team calendar, including scheduling and confirming appointments, providing daily updated calendar of confirmed events, meetings, press conferences, etc. Manage and assist in the production of support materials for meetings and functions, schedule rooms, and assist with any required logistics. Provide leverage in moving critical projects forward by assisting with information gathering, communicating with stakeholders, developing and monitoring project plans, and keeping track of responsibilities. Create, organize, and maintain files, records, and documents. Help Identify, recommend, and implement new processes. Perform data entry and maintain databases as requested. Create and submit travel and other reimbursement requests, including ordering office supplies. Prepare written and verbal responses to phone and mail inquiries. Oversee expenditure of petty cash funds, ensuring that expenses are recorded properly and audited. Oversee the use and maintenance of staff vehicle(s) and prepare monthly mileage report for Payroll. Take meeting notes. Book travel accommodations, including flights and hotels, and submit travel items for reimbursement afterwards. Type, proofread and format documents, including memoranda and briefings. Provide administrative support to staff, as required. Execute special projects that involve multiple agencies and Mayor's Offices. Perform other related duties and tasks as needed.

Minimum Qualifications

A baccalaureate degree from an accredited college and two years of experience in community work or community centered activities in an area related to the duties described above; or High school graduation or equivalent and six years of experience in community work or community centered activities in an area related to the duties as described above; or Education and/or experience which is equivalent to the above. However, all candidates must have at least one year of experience as described in the first bullet above.

Preferred Skills

A bachelors degree Demonstrated understanding of and experience with New York City government operations Strong knowledge of Microsoft Office Suite Strong administrative skills Excellent written, oral, and interpersonal skills A strong work ethic and the ability to work independently in a fast-paced environment is imperative.
