Senior Executive Assistant

We are looking for an experienced Senior Executive Assistant to provide high-level support to senior leadership. In this contract to hire position, you will play a critical role in managing schedules, coordinating meetings, and ensuring seamless day-to-day operations. This opportunity is based in Jeffersontown, Kentucky, and is ideal for someone with exceptional organizational skills and attention to detail. Responsibilities: Coordinate and manage complex calendars, including scheduling appointments and meetings for executives. Organize and oversee travel arrangements, including booking flights, accommodations, and transportation. Prepare meeting agendas, take accurate minutes, and ensure timely follow-up on action items. Handle correspondence on behalf of executives, ensuring clarity and professionalism. Assist with expense reporting by tracking expenditures and preparing detailed reports. Support the preparation and coordination of executive meetings, ensuring all materials are ready and logistics are handled. Perform administrative tasks such as document management, filing, and responding to inquiries. Maintain accurate accounting entries and records related to departmental operations. Proactively address scheduling conflicts and prioritize tasks to meet deadlines. Collaborate with other team members to ensure smooth workflow and communication. Requirements: Proven experience as an Executive Assistant or in a similar high-level administrative role. Strong skills in managing calendars, scheduling appointments, and coordinating meetings. Proficiency in arranging travel, including booking flights and accommodations. Ability to draft and manage correspondence with attention to detail and precision. Experience in preparing expense reports and maintaining detailed financial records. Excellent organizational skills with the ability to multitask and prioritize effectively. Familiarity with taking meeting minutes and ensuring follow-up on key decisions. Knowledge of accounting entries and basic financial processes is preferred.
