Job Title: Senior Administrative Specialist - Research Support for NMR/ICR (NHMFL) Location: Tallahassee, FL Regular/Temporary: Regular Full/Part Time: Full-Time Job ID: 61044 Department: National High Magnetic Field Laboratory Responsibilities Manages administrative activities related to program development and research compliance. Interprets and ensures adherence to University and sponsor policies. Assists with long-range planning and infrastructure growth initiatives. Coordinates purchasing, procurement, and travel in compliance with university guidelines. Serves as liaison with internal departments, external collaborators, funding agencies, chemistry department, and biomedical engineering department. Manages budgets for the ICR department, including monthly reconciliation reports. Coordinates and supports grant proposal preparation and submission. Drafts non-technical proposal sections and compiles supporting documents. Manages internal deadlines and submission schedules. Tracks proposal submissions, award status, and timelines. Maintains records of active and pending grants. Maintains and updates databases for research outputs, including publications, patents, and grants. Tracks user activity metrics such as proposal reviews and instrument usage. Generates reports for annual reviews, funding reports, and strategic planning. Ensures accuracy and consistency of data in internal systems. Conducts literature reviews and gathers scientific references. Manages citation databases (e.g., EndNote, Zotero, Mendeley). Provides formatting, editing, and data handling support for manuscripts, presentations, and reports. Maintains familiarity with research areas in chemistry, physics, and materials science. Provides support for web content updates related to NMR and ICR research, personnel, publications, and events. Assists in drafting and distributing newsletters, outreach materials, and program announcements. Coordinates communication efforts to support internal and external visibility of research programs. Serves as a back up for other Senior Administrative Specialists within the NMR/ICR department.

Qualifications

Bachelor's degree and four years of experience; or a high school diploma/equivalent and eight years of experience. (Note: a combination of post high school education and experience equal to eight years.) Preferred Qualifications

Proficiency with Microsoft Office Suite (especially Word and Excel). Experience with literature databases (e.g., Web of Science, PubMed) and reference management software. Strong written and oral communication skills. Ability to work independently and prioritize multiple tasks in a fast-paced research environment. Background in a scientific or technical discipline (e.g., chemistry, physics, biology). Experience supporting academic or research teams. Familiarity with grant proposal preparation for agencies such as NSF, DOE, or NIH. Basic knowledge of HTML/CMS for web editing.
