Public Works Department Secretary
The position serves as support to the Public Works Division and performs a variety of secretarial and clerical duties that require the use of standard office machines including computer equipment, and performs related duties as assigned. This position requires a high degree of independence, initiative, and flexibility. Ability to operate a personal computer and relative software is desirable. The Department Secretary supports the Development Services Department which requires telephone skills, typing, computer operation, duplicating, filing, and customer service. Examples Of Duties
Essential Job Functions: Track budgets, process warrant requests, and purchase orders accurately and timely. General secretarial support to department staff, typing a variety of complex forms, reports, letters, agendas, minutes, ordinances, contracts, and preparing and editing correspondence. Review and collect department applications and fees. Schedule appointments, maintain departmental calendar, and arrange conferences, meetings, and travel arrangements. Screen calls, visitors, and mail. Answers inquiries regarding departmental procedure. Maintains departmental filing systems, compiles data, and writes comprehensive reports and correspondence. Adheres to City and departmental policies and procedures. At times, the Department Secretary will be required to show discretion in handling sensitive and confidential information. Generate Public Works service requests. Compile equipment maintenance records. Performs other duties as assigned. Typical Qualifications
Desirable Knowledge, Skills And Abilities:
Knowledge of modern office practices, procedures and techniques, including: Modern office equipment. Correct English usage, grammar, spelling and punctuation. The ability to perform the following: effective writing skills; effective public relations skills; basic math skills. Windows based computer software for word processing and/or spreadsheet. Organization, responsible typing, secretarial, receptionist and clerical work involving the use of independent judgment. Interpret and apply policies, laws and rules and regulations. Prepare reports with accuracy and speed. Meet the public tactfully and courteously and answer routine policy questions in person and over the telephone. Establish and maintain cooperative work relationships. Basic functions and organization of municipal government. Take minutes of meetings and transcribe those minutes accurately. Promote the City's policy of outstanding customer service. Desirable Experience And Training:
Graduation from high school is required, supplemented by courses in computers, typing and office practices. A typical combination is three (3) years of increasingly responsible secretarial/administrative support experience. Experience with operating a personal computer using Word and Excel is desirable. Experience in a municipal government or public agency setting is desirable. Supplemental Information
