We are looking for an Executive Assistant to support the VP of, Apparel Product, while acting as lead EA to the senior admins within the Apparel Team and leaning in to support the team as needed. This role requires a high level of professionalism and the ability to work at a high performance as you will engage with several executive-level internal and external partners. The role will manage administrative processes, including but not limited to: strategic calendar management across multiple teams and time zones; coordinating complex travel itineraries; end-to-end event planning, and creating/reviewing/submitting expense reports and/or external PO's/invoices. This individual will handle highly confidential information in a fast-paced, high energy environment, anticipating the VP's needs and interacting with multiple and diverse partners. The candidate should be a trusted thought partner with strong written and verbal communication skills; organizational prowess and the ability to work in a fast-paced, complex environment with a commitment to diversity and inclusion. What you will work on

This candidate will work with the VP and his/her team to deliver on enterprise priorities. Be a confidential sounding board, confidant and conduit to keep the executive well-informed and help facilitate decision-making. Calendar Management: Proactively and strategically manage the VP's calendar, fielding and managing multiple requests for time, and responding in a timely manner. Planning: Track, anticipate and plan for key dates and gates including Board of Directors, CFE dates, recurring 1:1's, product gates and cross-functional sessions. Travel: Book domestic and international business travel, prepare detailed itineraries, gather documents and provide background research as needed. Team Meetings: Own weekly team connects, create agendas, manage attendees, presenters, and coordinating cadence, room requirements and A/V needs. Expenses: Track, submit and pre-review expense reports for VP and self in a timely manner. Meetings and Events: Plan and coordinate team meetings and events, including venue, catering, budgeting, agenda updates, materials, A/V planning, and communications. Confidence: Serve as a confidential resource for the team and elevate concerns to leadership when appropriate. Space Planning: Lead coordination of large-scale department moves and manage logistics for team spaces and conference rooms. Organizational Chart: Manage creation and maintenance of relevant organizational charts. Communications: Manage distribution lists and draft/edit team communications. Coach and Guide Senior Admins: Lead senior admins, align on expectations, monitor workload, and support development. Support: Primarily support the VP and contribute to broader team events and cross-functional activities.

Who you will work with

You and the VP will work as a team with the Apparel Product Team and collaborate with cross-functional partners across Design, Tech Dev, Merchandising, Supply Planning, Finance, and other campus and geographies. You may collaborate with Client's Executive Leadership Team for sessions with new products, Board of Directors, or Investors. What you bring

Strong written and verbal communication with the ability to work with senior executives. Ability to work in a fast-paced, results-oriented environment with ambiguity and independence. Exceptional organizational skills and attention to detail. Excellent judgment for handling confidential information. Calm under pressure, initiative-taking, resilience, and problem-solving orientation. Proficiency with software and internal systems (Outlook, PowerPoint, Keynote, Word, Excel, Smartsheets, etc.). Ability to take initiative and drive tasks to completion with operational excellence. Minimum 3 years of progressively responsible executive administrative experience. Strong storytelling, presentation, reading and writing skills, plus cultural sensitivity and commitment to diversity and inclusion. Strong project management skills from concept to completion. Combination of analytical ability, creativity, work ethic and sense of humor. Ability to create high-quality, visually compelling presentations. Advanced working knowledge of PCs, including MS Outlook, PowerPoint, Keynote, Word and Excel. Interpersonal skills to work diplomatically with various stakeholders. Willingness to work flexible hours is preferred. Experience handling sensitive materials; prior Client experience is preferred.
