Job Summary:

The Assistant Director of Operations for Graduate Admissions plays a pivotal role in supporting the recruitment, admissions, and enrollment operations for Iona University's graduate programs across the School of Arts & Science, LaPenta School of Business, New York-Presbyterian Iona School of Health Sciences, and the Hynes Institute for Entrepreneurship & Innovation. This position blends strategic recruitment support and relationship-building with technical expertise in admissions systems to ensure a seamless and data-informed admissions process.

The ideal candidate will be a dynamic, service-oriented professional with strong interpersonal and technical skills, capable of providing excellent customer service while also managing complex systems and workflows. This role requires occasional evening and weekend work and flexible hours.

Duties and Responsibilities:

Key Responsibilities

Operations & Systems Management Serve as the primary administrator for Slate CRM and integrated systems such as PeopleSoft, CSDCAS, and OTCAS, ensuring optimal configuration, functionality, and user experience. Oversee the end-to-end processing of graduate inquiries and applications, maintaining data accuracy and integrity across all platforms. Monitor and manage application materials, including transcripts, test scores, and recommendation letters, ensuring timely and complete file processing. Develop, maintain, and optimize reports and dashboards to track key enrollment metrics (e.g., inquiries, applications, acceptances, deposits, and yield) using Slate, PeopleSoft, and Excel. Ensure a secure, user-friendly application experience by managing portal interfaces, troubleshooting technical issues, and collaborating with IT, marketing vendors, and campus partners such as the Registrar and Student Financial Services. Implement process automation and system enhancements to improve operational efficiency and data accuracy. Maintain and update Slate portals and Iona.edu content to reflect current program offerings, deadlines, and messaging. Coordinate and execute multi-channel communication campaigns (email, SMS, print) to support recruitment and yield efforts. Data Analysis & Reporting

Leverage Slate CRM, PeopleSoft, and Excel to create and maintain queries, reports, and statistical analyses that inform enrollment strategies and operational planning. Support ad hoc data requests and maintain comprehensive statistical records to guide decision-making and continuous improvement. Collaboration & Continuous Improvement

Provide training and ongoing support to the Graduate Admissions team on system functionality, updates, and best practices. Conduct competitive analysis by monitoring peer and aspirant institutions to inform recruitment strategies, messaging, and positioning. Participate in special projects and strategic initiatives as assigned by the Senior Vice President for Graduate Admissions, contributing insights and operational expertise. Support the Graduate Admissions team in the planning, promotion, and execution of recruitment events by coordinating logistics, preparing materials, managing attendee communications, and ensuring a welcoming and informative experience for prospective students. Qualifications

Bachelor's degree in Computer Science, Information Technology, Information Systems, or related field. 2-5 years of directly related demonstrable experience Slate Certification preferred Knowledge, Skills, and Abilities

Strong technical aptitude with ability to configure and customize CRM systems and integrations Demonstrated analytical skills with proficiency in data analysis and accurate reporting Excellent interpersonal and communication skills with ability to work effectively independently and with various stakeholders Strong problem-solving abilities with attention to detail and data accuracy Experience in process automation and workflow development Ability to manage multiple projects
