The executive assistant coordinates and provides high-quality, holistic administrative support to the assigned executive. Essential Functions Provide daily support to the executive by answering calls, emails, voicemails, and through regular 1-on-1 appointments. Work closely with the executive to maintain a calendar of appointments, commitments, and deliverables. Assist in preparing agendas, pre-read materials, reports, and taking minutes for board, executive, and management meetings. Draft correspondence for executive approval or respond on the executives behalf within delegated parameters. Arrange logistics and accommodations for travel. Track spending throughout the fiscal year and identify variances in the budget. Manage documentation for key relationships stewarded by the executive, including interests, key dates, and gift report schedules; prepare reports for senior leadership. Research, troubleshoot, and track gifts on behalf of major giving partners seeking internal assistance or clarification. Collaborate with other departments to ensure positive interaction between the executive and all leadership and constituents. Keep the executive informed of upcoming meetings, agendas, commitments, and responsibilities, with appropriate follow-up. Handle confidential and sensitive information professionally. Create and document key processes. Assist in authoring, revising, and managing action plans. Support the integration of the executives personal and professional life to enhance longevity and mission effectiveness. Lead or participate in special projects as assigned by the executive. Knowledge & Skills Service-oriented with effective relationship management. Excellent organizational skills and attention to detail. Experience in administrative support and decision-making regarding time management. Strong verbal and written communication skills, with an interest in partnership development. Professionalism and sensitivity to the executives availability across diverse groups. Proactive in anticipating needs and issues. Maintains integrity, confidentiality, and discretion. Willingness to demonstrate and embody the following qualities: Humility, service, and resilience. Trust in God, others, and self, with a collaborative spirit. Joyful camaraderie, active listening, and problem-solving. Courageous faithfulness, trusting God with new approaches. Kingdom-inspired diversity, fostering inclusive, respectful relationships. Credentials & Education High School diploma or GED required. 5+ years supporting executives. Participation in faith activities that support stewardship functions, including fundraising and donor engagement, is expected.
