Overview

The Executive Assistant provides high-level support to the President/CEO by ensuring the seamless execution of responsibilities while upholding strict confidentiality. Key duties include managing complex calendars, email, and task systems; drafting, coordinating, and responding to executive communications; overseeing travel arrangements; and supporting the National Board of Trustees. The role also encompasses preparing formal documents, managing projects, and serving as a primary liaison with a wide range of internal and external stakeholders on behalf of the President/CEO and the Office of the President. Essential Functions

Executive Support: Provides comprehensive executive support for the President/CEO’s calendar, email, voicemail, and task management systems. Drafts and coordinates correspondence for President/CEO approval or responds on their behalf within delegated parameters. Guidance provided through written procedures, and during regular 1-on-1 appointments with President/CEO. Tracks President/CEO’s commitments (verbal or written) while maintaining the highest level of confidentiality. Assists the President/CEO in tracking and following up on action items from meetings, ensuring commitments are fulfilled and communication loops are closed. Books all travel arrangements for President/CEO. Adjusts as changes emerge. Codes and compiles receipts, submitting monthly expense reports on behalf of the President/CEO. Preps talking points or briefing memos for video shoots, meetings, or upcoming events. Occasionally, co-authors drafts for speaking engagements with the Communications team support. Supports National Board of Trustees, President/CEO, and Board Committee virtual calls through assistance in scheduling; preparing agendas; drafting, compiling, and editing pre-read materials; reports; and taking minutes as requested. Supports in-person National Board meetings in coordination with the Events Lead and/or Events Specialists (currently 3 per year). Supports trustee travel as requested. Maintains cloud-based Board Portal. Ensures board documents and historical records are archived properly. Assists trustees if they are experiencing access issues. As the gatekeeper to the President/CEO, professionally screens requests for connecting with President/CEO from both known and unknown parties, including internal and external requests. Tracks key giving partner relationships stewarded by the President/CEO - their interests, key dates, and gift report. Ensures timely entry and maintenance of key donor interactions into CRM systems for continuity and institutional memory. Researches, troubleshoots, and tracks gifts on behalf of major giving partners seeking internal support or clarification. Works cross-departmentally to help President/CEO interface positively with all leadership and constituents across the organization. Ensures President/CEO is fully prepared for all meetings and, when possible, understands the agenda, expectations for his involvement, and items that will be presented for decision. Supports the Strategic Alignment Division and Mission Investment Division as they produce major donor events according to the President/CEO’s established standard of quality. Integrates commitments and responsibilities, while protecting boundaries of both personal and professional life of the President/CEO, based on calendar guidelines to prolong longevity and increase mission effectiveness. Helps integrate family calendar commitments with the President/CEO’s professional schedule and communicates updates to family members as requested. Works closely and cooperatively with other Executive Assistants who support COO and CFO and help organize/participate in Executive Team quarterly working retreat days as needed. Liaises with administrative staff in other Chapter locations or divisions to coordinate and schedule President/CEO's time for nationally focused meetings and events, as well as National Service Center-focused meetings and events. Maintains and updates Executive Assistant Playbook as needed. Documents repeatable systems and maintains processes to ensure continuity during absences. Other duties as assigned. Deadlines, appointments, meetings, presentations, calls. As the President/CEO’s life is necessarilyintegrated with work and home, understands and learns scheduled commitments at home and how they affect work. Proactively anticipates needs. Sees in advance what the President/CEO needs and plans accordingly. Lunch before a meeting, selecting the most convenient appointment location, a rescheduled flight after a delay, reports emailed or drop-shipped to a client, the Executive Assistant has already seen the need and addressed it. Reminds President/CEO of key priorities for the week, month, quarter, etc. Strong poise, confidentiality, and professionalism are required. Creates and masters YFC operating systems.Documents and systematize key processes. Knowledge and demonstrated skills in each of Youth For Christ’s Cultural Attributes (Christ-Centered, Kingdom Inspired Diversity, Joyful Camaraderie, Relentless Trust, Enduring Humility and Courageous Faithfulness) Credentials Required & Preferred Education Bachelor’s degree preferred or equivalent training and experience. 5+ years of progressively responsible experience supporting senior executives in a complex organization preferred. Service in a C-Suite setting preferred. Physical Requirements: Must be present at the Parker, CO office most days.Approval to work off-site dependent on the needs of the President/CEO. Ability to communicate orally with customers, vendors, management, and other co-workers is crucial. Regular use of the telephone and e-mail for communication is essential.Sitting for extended periods is common. Hearing and vision within normal ranges is essential for normal conversations, to receive ordinary information, and to prepare or inspect documents. Activities require the ability to remain in a stationary position 50% of the time, occasionally move about inside the office to access files or office equipment, operate a computer and other office productivity machinery, such as a calculator, handheld devices, copy machine, and computer printer. No heavy lifting is expected, though occasional exertion of up to 20 lbs. of force may be required. Good manual dexterity is required for the use of computers, mobile devices, and other productivity technologies. The job is performed indoors in a traditional office setting. Extended periods of sitting and extensive work at a computer and phone are normal.
