Position Summary: We are seeking a dedicated and highly motivated Administrative Assistant to provide administrative support within our Business Operations for Gas and Electric Distribution Field Leaders across multiple locations. In this entry-level role, the successful candidate will play a key part in various operational areas, including Gas and Electric Distribution support, Field Manager assistance, and special projects.
Responsibilities
- Perform ARCOS Scheduling for the Gas and Electric Distribution teams.
- Manage payroll duties, including correcting system interface errors (IDOCs) and releasing timesheets.
- Handle Equivalent Straight Time (EST) charging, posting, and distribution in accordance with the Union Working Agreement.
- Manage Accounts Payable activities, such as creating and processing Purchase Requisitions.
- Reconcile purchase card transactions.
- Process check requests for departmental expenses.
- Sort and distribute mail as needed.
- Assist with various administrative and clerical duties related to business operations.
- Provide field manager support and assist with special projects as required.
- Perform occasional physical tasks, including lifting and carrying items weighing between 5-35 lbs.
Skills & Qualifications
Required:
- Strong computer skills, particularly in Microsoft Office Suite (Word, Excel, Access, and Outlook).
- High attention to detail and ability to stay organized in a fast-paced environment.
- Self-motivated with the ability to work both independently and as part of a team.
- Demonstrated aptitude to learn new skills and adapt to changing responsibilities.
- Excellent communication skills to interact effectively with diverse teams and stakeholders.
Preferred:
- Experience using SAP Front/Back Office systems.
- Familiarity with plotter and scanner operations.
- Background in customer service and/or administrative roles is advantageous.
Experience & Education
Required:
- High school diploma or equivalent.
- 0-1 years of relevant work experience, preferably in an administrative or clerical capacity.
Preferred:
- Some college coursework or a degree in a related field.
- Experience with SAP or similar software systems is a plus.
Additional Information
- This position may require occasional lifting and carrying of heavy loads (approx. 5-35 lbs).
- Travel may be required on occasion.
- The role may involve overtime based on project demands.
