Job Title
Administrative Assistant – Business Operations
Job Summary
The Administrative Assistant provides essential support to multiple Gas and Electric Distribution Field Leaders across various locations. This role involves a mix of administrative, operational, and financial responsibilities to ensure smooth day-to-day business operations. The ideal candidate is detail-oriented, well-organized, and capable of working collaboratively across diverse teams.
Key Responsibilities
- Coordinate ARCOS scheduling for field operations.
- Manage payroll tasks including correcting system interface errors (IDOCs) and releasing timesheets.
- Process Equivalent Straight Time charging, posting, and distribution in accordance with Union Working Agreements.
- Handle accounts payable activities such as creating and processing purchase requisitions.
- Reconcile purchase card transactions and process check requests.
- Sort and distribute incoming mail and perform other related administrative duties.
- Generate and present financial reports; manage cash flow and adhere to budget constraints.
- Support special projects and assist in hiring personnel as needed.
- May be required to lift and carry loads ranging from 5 to 35 lbs.
Skills & Qualifications
Required Skills:
- Proficiency in Microsoft Word, Excel, Access, and Outlook.
- Strong attention to detail and organizational skills.
- Highly motivated and team-oriented with a willingness to learn.
- Ability to follow established policies, procedures, and job aids.
Preferred Skills:
- Experience with SAP (Front/Back Office).
- Familiarity with plotter and scanner operations.
Education & Experience
- Required: High school diploma or equivalent.
- Preferred: Some college coursework.
- Experience: 0–1 year of administrative or clerical experience; customer service background and SAP experience are assets.
Additional Information
- May require travel and occasional overtime.
- Must be able to interface effectively with cross-functional teams and understand their administrative needs.
