Overview

The Administrative Assistant supports the Director for the Early Childhood Education Program in operating a faith-based childcare center. The position requires the ability to relate to children, encourage teachers and parents of children. In the event of the director's absence, the Administrative Assistant has the authority to make critical and time sensitive decisions affecting the welfare of the children and staff.

Ministerial Character

The Pastor is the visible principle and foundation of unity in the parish of Emmaus Catholic Church which the Bishop has entrusted to him. He makes Christ’s mission present and enduring in the parish. In order to fulfill his mission, the Pastor employs suitable, chosen collaborators (clerics, religious, or lay people). He shares with them his mission and entrusts various responsibilities to them.

Positions employed at Emmaus Catholic Church help to extend the ministry of the Pastor in particular ways as outlined in the job description. Therefore, the employee in this position is closely connected to and assists the Pastor in the performance of his ministry and thereby engages in ministry for the Church.

Essential Job Duties

As an integral part of your ministry for the Church as carried out in this position, support and uphold the philosophy of Catholic ministry and the mission of Emmaus Catholic Church in both your professional and personal life.

Act as a witness to Gospel values by modeling the teachings of the Catholic Church.

Continuously grow in your ministry by participating in religious ceremonies, training sessions, and reflection activities as directed.

  1. Responsible for supporting the director with the daily operation of the center to provide the best possible atmosphere for the staff and children in the center’s care. Responsibilities include but are not limited to:
  2. Assisting the director with the administrative responsibilities of running a licensed childcare in the State of Texas including but not limited to enrollment, student records, electronic recordkeeping
  3. Reviewing incident reports and the health and safety of the center routinely
  4. Routinely plan staff events such as Teacher Appreciation and Christmas Party
  5. Assisting the director in maintaining clear and current communication with parents, teachers, and staff
  6. Assisting the director in dealing quickly and kindly with any parental issues
  7. Assisting the director with ensuring that the center is in full compliance with all licensing and safety regulations
  8. Maintain the purchasing and processing of expenditures for the program
  9. Assisting the director with meetings and trainings as the director deems
  10. Working closely with parent committee chairs

Collaborates with parish staff and various parish groups.

  • Works with parish staff in planning and implementation to ensure that programs support the overall goals for the parish.
  • Serves on the Preschool Advisory Board
  • Participates in staff meetings.
  • Assisting teachers with support, training and help in their classrooms
  • Annually completes mandated hours of administrative training as determined by the State of Texas.

Knowledge, Skills and Abilities

  • Knowledge of the structure and basic teachings of the Roman Catholic Church.
  • Have excellent organizational and planning skills.
  • Be a team player.
  • Be available and responsive to the needs of parents, parishioners, and community members.
  • Be available for some variable hours and on call response after regular business hours to meet the needs of the parish. Requires some weekend, holiday and evening work for events or the ability to arrange coverage. These times include, but are not limited to, Christmas season, Holy Week/Easter, fundraisers, after Mass functions, etc.

Minimum Qualifications

Education and Trainings:

  • High School Diploma or GED acceptable to Texas Education Agency.

Experience:

  • Two (2) years of related full time wage earning experience.

Language:

  • English (proficient in conversing, reading, and writing)
  • Spanish (proficient in conversing, reading, and writing). Preferred but not required.

Catholic Requirement:

  • Must be a practicing Roman Catholic in good standing.

Licenses/Certifications:

  • Valid Texas driver’s license.
  • Must maintain compliance with the Diocese of Austin Ethics and Integrity in Ministry (EIM) policies throughout the employment period.

Working Conditions

  • All employees of the Parish are engaged in ministry and closely tied to the Pastor in the exercise of his ministry and obligations to the church.
  • The Parish is an at-will employer.
  • All buildings and vehicles owned by the Parish are tobacco free.
  • Working in a fast-paced environment with priorities and plans that may change rapidly.
  • Working on weekends, evenings, and some holidays may be required.
  • Will be exposed to religious ceremonies, conduct, and speech, including Roman Catholic Christian prayer and liturgical celebrations.
  • Will be required to adhere to established dress codes and conduct standards.
  • May be required to use personal or parish vehicle to drive to off-site locations.
  • Travelling within and outside the parish to meetings and other events may be required, and travel may require overnight lodging.
