Description

The Administrative Assistant will provide support in business administration tasks for both the parish and the day care. This role involves data entry, record keeping, purchase tracking, and assisting with office operations. The position requires attention to detail, organization, and the ability to work independently with minimal supervision. This position does not require making operational or financial decisions. The Administrative Assistant is expected to uphold Catholic values in all aspects of work and comply with all diocesan policies, including the Ethics and Integrity in Ministry (EIM) requirements.

Ministerial Character

The Pastor is the visible principle and foundation of unity in the parish St. Francis on the Brazos Catholic Church which the Bishop has entrusted to him. He makes Christ’s mission present and enduring in the parish. In order to fulfill his mission, the Pastor employs suitable, chosen collaborators (clerics, religious, or lay people). He shares his mission with them and entrusts various responsibilities to them. Positions employed at St. Francis on the Brazos Catholic Church help to extend the ministry of the Pastor in particular ways as outlined in the job description. Therefore, the employee in this position is closely connected to and assists the Pastor in the performance of his ministry and thereby engages in ministry for the Church.

Essential Duties

  • Assist with business administration tasks for the day care and parish.
  • Enter invoices and review purchase records.
  • Maintain and update sacramental registers.
  • Support the parish secretary in purchase orders and vendor follow-ups.
  • Maintain accurate and organized files, both physical and digital.
  • Provide general clerical support: managing calendars, correspondence, and supplies.
  • Communicate effectively and courteously with parish staff, volunteers, parents, and the community.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Act in a manner consistent with the mission and values of the Catholic Church.

Knowledge, Skills, and Abilities

  • Office setting within the parish and day care facilities.
  • Interaction with parish staff, volunteers, and community members.
  • Knowledge of the basic teachings of the Catholic Church
  • Knowledge of Microsoft Office applications
  • Knowledge of use of office equipment
  • Able to communicate effectively in both written and verbal form
  • Able to work well with others in the school community
  • Skill in handling multiple tasks simultaneously
  • Skill in organizing and relating information in an understandable format
  • Skill in job appropriate technology
  • Skill in critical thinking and planning
  • Basic knowledge of accounting or bookkeeping is a plus.
  • Proficiency in Microsoft Office (Word, Excel) and basic data entry skills.
  • Strong organizational skills and attention to detail. High school diploma or equivalent

Minimum Qualifications

Education:

  • High school diploma or equivalent; some college coursework preferred.
  • Prior experience in administrative or clerical work is an advantage.

Experience:

  • Experience as secretary or administrative assistant

Certifications and Training:

  • Must maintain compliance with the Diocese of Austin Ethics and Integrity in Ministry (EIM) policies throughout the employment period.

Employee Certification

All employees must adhere to the Catholic Schools Standards of Conduct, the Diocese of Austin EIM policies, and the social, ethical, and moral teachings of the Roman Catholic Church as interpreted by the Bishop of Austin.
